Job FunctionsThe following job function statements describe the general nature and level of work being performed. They are not to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified. The job function statements reflect expectations of the fully trained, proficient incumbent who meets all performance criteria.1. Maintains and creates up-to-date reports as required. Compiles, reviews and analyzes data.2. Answers telephones, screens calls, for staff, and responds to routine inquiries; takes messages and/or forwards calls to appropriate staff.3. Interacts with internal and external customers and employees, responding to inquiries and/or routing to appropriate personnel while maintaining customer relations and providing a professional image. Assists employees when possible.4. Maintains and updates CEO's calendar of appointments; makes travel arrangements, schedules meetings and appointments as required; keeps CEO informed of schedule to help ensure all appointments are kept.5. Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; reviewing incoming mail and processing it either by referring to appropriate person or by handling directly.6. Generates routine correspondence via computer, such as letters to customers, departmental memos, and interoffice correspondence. Reviews drafts and finished documents for accuracy and appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.7. Assists in the planning of events; maintains records for budgeting purposes, including a running total of available funds.8. Assists in the creation and distribution of materials for the bases working with various department leaders. 9. Manages and administers corporate wide processes such as Corporate credit cards and cell phones. In the administration of these processes, interacts regularly with the Bank/vendor, Director of Finance, Department Managers and employees. 10. Administers the Corporate Travel vendor to ensure lowest cost travel arrangements are provided. Also manages negotiated rates with vendors for services such as shipping, printing, hotel, car rental, etc. 11. Coordinates ordering of office supplies and equipment for the company, including managing the online ordering system and office supply vendor performance. Submits purchase requests and invoices for timely payment. Ensures employees have the tools needed to perform their assigned tasks. Coordinates all ordering for new base start-ups working with Business Development V.P. and base management.12. Maintains headquarters records and filing systems; assists HR Director with records and records retention requirements.13. Under the direction of the Department Managers, maintains the Company Sharepoint sites to ensure data is posted and is up-to-date. Requirements: Microsoft Office XP and 2007 (to include: PowerPoint, Excel, Word, Access, Outlook) Abra (preferred but not required)Four or more years of progressively responsible, directly related clerical experience in a professional business environment.A high school diploma or, G.E.D. One or two years of post-high school education or equivalent related college or technical courses, seminars and in-house classroom training preferredThorough knowledge of computers, including the use of software programs such as Microsoft Excel, Word, Power Point and Mail. Must be able to create formulas and pivot tables within Excel and must be able to create complex Power Point presentations. Familiarity with ABRA software a plus.
