MVM Inc., a government contractor with an international presence providing Physical Security, Detention Services, Personal Security Details, Prisoner Escort/Transportation, Training, Language Services, and related services to US Government clients, is looking for a Technical and Administrative Assistant. As MVM continues to aggressively expand, this position has the potential for growth and upward movement.
The Technical Assistant is responsible for providing day-to-day technical and administrative assistance to the Program Manager of Special Operations, the Operations Manager, their assigned Division and Corporate Operations as a whole. Assist in the administration and analysis of time and attendance system activity. Compile time sheets from field, calculate the hours worked, and coordinate data for the payroll system.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Ensures that applicants are responding in an accurate and timely manner to corporate requirements necessary to process with client.Develops, implements and/or maintains prescribed reporting formats and administrative procedures that promote effective and efficient communication links between the corporate headquarters and the client, and between corporate support elements and the contract employees at their respective field units.Maintains information databases, as necessary, relating to the status of payroll, and other contractual elements that warrant recurring oversight.Contributes ideas, develops write-ups for corporate. Operates telefax, computer, reproduction, word-processing, and/or typewriting equipment to facilitate administrative output to include initial drafts, graphics, revisions and integrated final products; performs routine files maintenance.Proofreads, edits and finalizes documentation prepared by department members, consultants, and other contributors responding to assorted administrative requirements.Assists in reproduction, assembly, checking and dissemination of applicant and employment packages, monthly project management reports, and periodic mass-mail out projects.Coordinates inter-office meetings for department members through telephonic and personal contact as necessary.Maintains electronic and annotated paper file holdings for historical retention and ease of data retrieval, as needed.Compiles payroll data (hours worked, insurance, taxes, union dues, employee identification number, time sheets and other records.)Reviews wages computed and corrects errors to ensure accuracy of payroll.Assists with leave records, vacation and sick leave records. Corresponds with all personnel via email to keep them up to date on status or issues during the payroll process.Files paperwork as needed.Picks up all mail and packages from local post office.Makes several trips per week to client to exchange packets.Other duties as assigned.
JOB QUALIFICATIONS:
1. High school graduate with 2-3 years prior experience in administrative field.
2. Current DoD, DoS or OGA Secret Clearance or eligibility to obtain a clearance.
3. Strong organizational, interpersonal, written and verbal communication skills and proper telephone etiquette.
4. Any similar combination of education and customer service experience.
5. Knowledge of MS Office and proficiency in Microsoft products.
6. Demonstrated initiative, flexibility, with the ability to effectively achieve staff operating procedures, forms, processes, business plan and strategies.
7. Demonstrated and/or customer service experience.
8. Be highly motivated, excellent time management skills, ability to stay on task and work with minimal supervision.
9. Ability to handle multiple projects simultaneously while prioritizing along strict time lines.
