General Clerk II

The customer shall provide administrative and clerical support to the Commanding Officer (CO) and the Executive Officer (XO) of the Officer Naval Reserve Officer Training Corps (NROTC), located at Boston University, Boston, MA.

The customer shall receive and screen all telephone calls for the CO and the XO. Determine whether or not callers can be helped at NROTC level. Maintain the CO’s/XO’s calendar and schedule/cancel appointments and conferences without prior clearance. Coordinate with Officer Development Naval Service Training Command (NSTC) secretary regarding OD conferences and meetings. Make travel arrangements as required for NROTC Boston University. Normal working hours are 0730 to 1630 Monday through Friday, weekends and holidays normally excluded. The customer shall maintain control records of the NROTC incoming correspondence and action documents follow up on work in progress to ensure timely reply or action. Keep CO/XO informed of current status of action correspondence. Customer shall maintain records and publications in accordance with government prescribed procedures and instructions. Customer shall receive, sort, and distribute mail. Customer shall respond to routine requests with standard answers and refer recognized problems to appropriate office personnel. Customer shall make copies of documents, send and receive fax copies, and transmit information via email.

Customer shall be:

• Proficiency in Microsoft Office products, including Microsoft Word.

• Knowledge of filing and organizational techniques.

• Knowledge of military rank/rating structures.

• Ability to initiate/prepare all forms of Navy correspondence, business smooth correspondence for CO’s/XO’s signature.

• Thorough knowledge of spelling and grammar, including punctuation and sentence structure.

• Knowledge of, and ability to, identify actions to be taken for routine inquiries.
