EXECUTIVE ASSISTANT TO DISTRICT DEVELOPMENT UNITAGENCY DESCRIPTION:The Department of Small Business Services (SBS) is a vibrant, client-centered Agency whose mission is to serve New York’s small businesses and commercial districts. SBS makes it easier for companies in New York City to form, do business, and grow by providing direct assistance to business owners, promoting commercial districts, promoting financial and economic opportunity among minority- and women-owned businesses, preparing New Yorkers for jobs and linking employers with a skilled and qualified workforce. SBS has a staff of 300 employees and a budget of $190 million. SBS is quickly becoming one of the most respected and dynamic Agencies in the City, and continues to reach for higher professional standards through innovative systems, new approaches to government, and a strong focus on its employees. We are recruiting for qualified individuals to work with us on high-impact initiatives in the Agency. The District Development Unit, as part of the Business Development Division, supports community-based economic development organizations throughout New York City in order to create the conditions under which local businesses thrive and residents enjoy access to a vibrant mix of goods and services. Through its network of 60 Business Improvement Districts (BIDs), SBS’ District Development unit oversees the provision of more than $100 million in programs and services to more than 70,000 businesses annually. District Development also partners with dozens of Local Development Corporations, Merchants’ Associations and other neighborhood economic development organizations through Avenue NYC, a $2.8 million competitive grant program that funds commercial revitalization programs (comprehensive economic development planning, business attraction efforts, district marketing campaigns, BID formation initiatives, and other economic development activities) in all five boroughs. JOB DESCRIPTION:The Business Development Division is seeking an Executive Assistant to support the Assistant Commissioner and senior staff of the District Development unit. In this capacity, the Executive Assistant will: Serve as the division’s representative to the internal support offices (facilities, operations etc.) of the Agency to coordinate new hires, procure supplies and equipment etc. Assist in the development and implementation of standard operating procedures for administrative support regarding all office functions Provide clerical support, maintain files, order supplies, coordinate communication internally and externally regarding District Development initiatives. Manage the schedules and address books of the Assistant Commissioner and the Executive Directors. Assist the staff with day-to-day duties which includes scheduling meetings, answering phones, and general office management. Handle travel arrangements for District Development staff as needed. Assist in the management, recording keeping, and payment processing of District Development contracts. Manage logistical arrangements associated with internal and public meetings. Assist with updating and managing the unit’s databases, producing mailings via post and digital, to a diverse group government and private constituents.PREFERRED SKILLS: Strong communications skills Detailed oriented and organized Ability to work in a fast-paced environment, handle multiple projects simultaneously, and prioritizing assignments Excellent MS Word and Outlook skillsQUALIFICATION REQUIREMENTS: A baccalaureate degree from an accredited college and three years of satisfactory, full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or An associate degree or 60 semester credits from an accredited college and four years of satisfactory, full-time progressively responsible experience as described in "1" above; or A four-year high school diploma or its educational equivalent and five years of satisfactory, full-time progressively responsible experience as described in "1"above; or Education and/or experience equivalent to "1", "2" or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above.
