Summary/General Description of Responsibilities:
· Incumbent to serve as Administrative Officer with a significant analytical and management advisory role.
· Plans, directs, coordinates and reviews all administrative management activities for the unit including personnel and organization management, records management, training, travel planning and budgeting, procurement and logistics support and associated support services.
· Develop guidance, procedures and/or policies relative to the above activities and services.
Specific Duties & Job Functions:
· Serves as the principal consultant and advisor to the manager on all administrative functions.
· Provides advice and guidance to supervisory and non-supervisory personnel regarding personnel program regulations, requirements, action preparation and processing.
· Coordinates employee-training matters (e.g., tuition assistance program, self-development, annual survey of training needs, employee and career development plans, employee orientation courses, and on-the-job training, etc.).
· Coordinates and monitors the performance appraisal and incentive awards program; develops and implements a suspense system to ensure standards and appraisals are completed on time; reviews appraisals for grammar and accuracy.
· Manages the unit’s travel and training budgets.
· Conducts surveys, studies and analyses of records, missions and functions for the purpose of standardizing and streamlining the records management program.
· Develops filing system policies and procedures for the identification, maintenance, and disposition of records.
· Monitors requests for security clearances for personnel.
· Monitors and follows up on safety inspections.
· Performs in a supervisory role; personally performs or directs work to be done by subordinate administrative staff throughout the unit.
· Other administrative duties as assigned.
Job Requirements
Mandatory:
· High School Graduate or equivalent.
· Computer experience in Microsoft Office Suite (at least 3 years).
· Good interpersonal, communication, and writing skills.
· Ability to work well in a team environment.
· Ability to function effectively in a complex and changing environment with numerous deadlines and changing priorities.
· Ability to analyze and interpret information.
· Must be able to lift a minimum of 35 pounds.
· Must have at least 3 years Administrative office experience.
· Must have an active Top Secret/SCI Clearance.
· Must be willing to take a MS Office and typing skills test.
