Senior Administrative Assistant

Sodexo USA is currently searching for a Senior Administrative Assistant position. This position with support two Vice President's in Supply Management. This position combines project work and administrative support duties; the selected individual for this position will have significant experience in both areas. This position requires excellent interpersonal and communication skills (written and oral) with a sense of urgency, proactive approach, ability to manage expectations and a high customer service level. In addition, the candidate should be a natural team player in a fast paced environment. Administrative duties include calendar management, setting up travel, review, verify and process invoices, order and tracks office supplies, minutes of meetings note-taking, maintenance of Outlook databases and answers departmental telephone line. Support databases and spreadsheets (expense report preparation/processing, budget tracking & reconciliation). Supports databases and spreadsheets (expense report preparation/ processing, advanced budget tracking & reconciliation). Creates or edits and proofs documents independently. With guidance, develops and coordinates mass emails, standard reporting templates and department communication media. To be successful in this demanding role you should possess intermediate proficiency in Word, Excel, PowerPoint, Access, Outlook and Adobe PDF creation. Will possess excellent communications skills; verbal and written. A demonstrated ability to multi-task and manage multiple priorities. Project work: Ability to manage short-term projects (to take it from beginning to end with minimum supervision). These include, but not limited to: special events for the group (as needed) space allocation cost tracking based on defined criteria defining and maintaining a library of monthly reports generated from Operation Support documents. Ability to handle complex meeting arrangements often involving many people from different countries and time zones. Conference call set-ups, web casts, videoconferences or similar events. The position will be required to maintain other projects that may arise from time to time. ~cb~ Position Summary: Under general supervision, provides general secretarial and administrative support to a department or group of professionals. Work is somewhat varied, and generally administrative or project oriented. Requires a broad understanding of company operations, organizational procedures, and personnel. Work may involve handling confidential and sensitive material. Within established guidelines, makes some independent decisions regarding planning, organizing, and scheduling work.
