Practice Coordinator - Financial Services

ESSENTIAL FUNCTIONS: Practice Coordinator Tasks Client Interaction/Correspondence

Setting/Confirming/Rescheduling Appointments 

Prepare Letters of Instruction

Handles basic service instructions from client meetings.

Routine client service, including address changes, bank changes, beneficiary changes.

Answer Phones, call & email screening as directed.

 Policy Servicing

Confirmation of new business

Prepare Annual Review Letters

Preparing all Client Review Information for Review Meetings.

Assistance in setting up and administering “Wave Mailings� to existing clients and prospects.

 

Administration/Record Keeping

Prepare Client Position Statement (CPS) and review for accuracy

Add Client Notes to system.

Assist in preparing paperwork, submit, track and record transferring existing clients to Pershing

Prioritize Cases (identify what parameters dictate high priority)

Assist in completing Applications (Insurance and Securities)

Assist in preparing materials for policy options letters.

Update project/to-do list with notes from client meetings.

 

Tracking

Tracking review and follow-up on service cases.

Processing oversight (to insure process meets desired time frame)

Track Business Goals

 

Other Duties

Run Illustrations

Prepare Marketing Letters

Dictation

Copying

Filing

Faxing

Ordering literature/supplies

REQUIRED SKILLS AND EXPERIENCE:

 

Minimum requirements in terms of educational background, work experience, licenses/certifications or other knowledge, skills and abilities.

 

 

Four Year Degree or Equivalent Work Experience

Strong sense of urgency.

Good computer skills.

Excellent verbal and written communication skills.

Good customer service skills.

Maintains confidentiality of information.

Ability to coordinate multiple tasks and priorities.

High Attention to detail

Microsoft Word required

Excel and Outlook preferred

Good organizational and demonstrated problem solving skills a plus

ADDITIONAL SKILLS AND EXPERIENCE:



Knowledge of insurance/financial services industry.

Life & Health license or willingness to obtain within 3 months.

FINRA (NASD) Series 7 or 66 license, or willingness to obtain within 3 months.
