Office Manager/Receptionist

This is a tremendous opportunity for a smart college graduate who has an interest in the financial services area and who is able to make at least an 18 month commitment to this role. Position Responsibilities:

Overall, the person will handle all aspects of office administration in our Boston location, including answering the telephone, greeting clients, maintaining an organized office, liaising with outside vendors, ordering supplies, and filing documents.

The person will report to the Boston-based Chief Operating Officer, and will interact heavily on a daily basis with all other employees. As a fast growing, 40-person company, we seek someone who is dynamic and comfortable working on a small team in an extremely fastpaced,
ever-changing entrepreneurial environment. This person must be comfortable managing multiple tasks at once.

Key responsibilities include:

1) Handling all office administration including supplies ordering, phone reception and coverage (i.e. answering main phone number and covering when individuals are away from
their desk), greeting guests (serving drinks, coffee, etc.) and coordinating all incoming/outgoing shipping and mailings.

2) Photocopying, filing, and scanning client, fund and product information, including electronic filing of key information and filing and organizing all paper files and binders.

3) Assisting with formatting and preparing marketing materials and correspondence.

4) Arranging travel plans and maintaining meeting schedules.

5) Assisting with bill paying, bill tracking and the collection of all supplier invoices.

6) Organizing logistics for meetings and events.
7) Preparing documents and other materials for the investment team’s meetings with clients.

8) Producing various ad hoc reports and helping with projects as needed.

9) Sending key client correspondence and mailings (investment/wire confirmations, letters, statements, tax information, invoices, etc.).

10) Managing the schedules for the conference rooms.

11) Ensuring the meeting rooms are “client ready” (e.g. remove drinking glasses and replenishing refreshments).

Qualifications:

1) Very strong organizational and administrative skills in a fast-paced environment.
2) Attention to detail.
3) High degree of professionalism.
4) Strong, demonstrated Microsoft Excel and Word skills, Powerpoint a bonus.
5) Comfortable working with database and data entry.
6) Strong interpersonal and customer service skills in serving the role of meet/greet clients
and phone coverage.
7) Team player who is willing to do whatever it takes to contribute to the success of the
business.
8) Bachelor’s Degree and some prior experience.
