Assistant Purchasing Manager
This position will handle all aspects of day-to-day management of Molecular Biology's purchasing and accounts payable transactions. This position is responsible for training all new staff on the PeopleSoft purchasing system and gives refresher training whenever necessary. Interacts with Molecular Biology faculty, staff and students, vendors, and staff in other University departments to gather necessary information for trouble shooting purchasing problems. Interprets data collected and purchase orders and informs the appropriate persons accordingly. Reviews miscellaneous vouchers for completeness by making sure all supporting documentation is present; account numbers are active and appropriate; codes are correct and required signatures are present.
Also, responsible for processing monthly billing for the department's 10 Core Facilities. This includes distribution of charges on faculty accounts according to established department procedures and processing and submission of electronic JV. Additionally reconciles departmental Visa and miscellaneous vendor charges and redistributes the charges to the appropriate accounts; and determines any personal expenses and request reimbursements.
Essential Qualifications
Position Requires:
Must be familiar with the appropriate University policies and procedures and sponsored Project and Grant rules as they pertain to Purchasing and allowable expenses. There must be a specific understanding of University Purchasing and Accounts Payable Policies.
Ability to effectively communicate with a diverse group, ability to assign, supervise, and review the work of subordinates, and to maintain an effective working relationship with the Operations Team.
Proficient in Microsoft Office programs (Word, Excel and Access a plus) and have a working knowledge of accounting basics.
Bachelor's degree preferred or equivalent experience.
The final candidate will be required to sucessfully pass a background check.
