Administrator Service Delivery

The administrator service delivery is a multi tasked role comprising of primary and secondary roles within the group. Accountable for ensuring excellent customer service is provided to all clients by authenticating or processing transactions to ensure accuracy and completeness in accordance with instructions and expectations. This is a fast past environment which requires excellent communication skills and attention to detail. There are many process, policies and systems used throughout the day and the requirements for transactions can be very complex. There is a high level of client, shareholder, broker contact as well as internal contact with multiple departments servicing clients. Duties include:

Major Responsibilities
• Verification of all incoming transfers, deposits, withdrawals and all other transactions from brokers, depositaries and the general public. Ensuring that all transfers or other transaction requests are completed in the time standards required based on regulatory requirements or internal standards/policy. This includes quality control checks as required.

• Must be able to read material requiring understanding of content in items such as instructions, procedure manuals, documents, and correspondence.

• Must be able to verbally communicate sometimes advanced levels of information with considerable need for explanation or description. It is important that this explanation or description be precise to avoid misunderstanding of complex information.

• Required to work in queue in get next mode and have the ability to prioritize work when facility not available.

• Must perform routine, specialized or technical tasks, or procedures requiring specialized knowledge of the requirements to transfer securities.

• The incumbent has a responsibility to provide service to internal and external clients in a timely manner according to the specific requests, stated expectations and internal and regulatory standards.

• The priorities of the job must be continually changed to meet multiple and sometimes conflicting demands on their time and effort.

• Required to plan some aspects of their own work within specified deadlines with occasional need to change the priorities of the job.

• Co-ordination is part of the job. The job generally requires the incumbent co-ordination of activities, information or materials within the group. The priorities of the job must be continually changed to meet multiple and sometimes conflicting demands on their time and effort.

• The results of the decisions, actions or advice affect the services and work of the unit.

• Provide back up and support in any of the roles as described in the service delivery administrator job description

Skills and Experience:
• High School diploma or Post Secondary education

• Post Secondary business courses an asset

• 1 - 2 years industry related experience required (broker, financial, banking)

• Securities Industry knowledge would be an asset

• Good communication skills; able to multitask

• Good organizational skills with the ability to recognize changing priorities

• Strong knowledge of PC applications required (Word, Excel, Outlook)
