Status Full Time, EmployeeLocation Atlanta, GA 30326City Position is Located Atlanta Job Category Administrative/ClericalEducation Bachelor's DegreeReference Code PCK505-212473 Position Category: Administration/ClericalPosition Title: Administrative Assistant - Sales Department (IED)Job Level: Administrative AssistantLocation: USA - GA - AtlantaEducation Required: Bachelors DegreePosition Description:• Provides support to a team of 4 Sales Professionals• Telephone coverage, answer phones, take accurate messages, know team members’ whereabouts at all times, handle urgent/confidential calls with appropriate judgment; back-up other lines as needed• Manage team’s calendar, schedule all meetings and conference calls, field e-mails and phone calls requesting meetings, handle meeting conflicts and prioritization issues• Coordinate and setup meeting materials for all departmental events: corporate marketing events, research team events, roadshows, etc.• Liaison between the different geographic locations within the firm (in coordinating sales meetings and events• Arrange all aspects of travel, keep sales team travel profiles up-to-date with frequent flyer details and preferences, manage approvals for travel, arrange flights, hotels, rental car and sedan services, currency exchange using agency and online services, prepare itineraries• Prepare and submit all expense reports on a timely basis and reconcile as needed• Maintain organized filing system for correspondence, documents, personal files and confidential matters• Navigate Firm’s resources, interface with various departments to collect information, respond to requests, obtain services• Miscellaneous support: printing copies, faxing, managing mail groups, maintaining orderly, fully-functioning work area• Order Office Supplies• Handle personal work as directedSkills Required:• Excellent communication, writing, judgment, and problem-solving skills• Strong attention to detail as well as solid organization/time management skills• Must be an enthusiastic, positive team player who is willing to help out and who works well with colleagues• Able to work in a fast-paced environment and handle multiple tasks concurrently• College Degree Preferred or Relative Corporate Experience preferred (1 - 3 Years of Experience)• Proficient in Microsoft Office (especially Word and Excel), including Outlook for email, calendar and contacts• Other applications include Internet and research tools • Solid typing skills (60+ wpm)• Keep up to date with office procedures and technical training as well as all policy guidelines & compliance requirements• Working hours: 7:00am - 5:00pm, with additional working hours as necessary in order to meet business needs.
