Summary of Position

The Administrative Assistant provides administrative and general sales and supervisory support for the Managing Director and other personnel within the department.  He/she will handle confidential data; oversee the department’s compliance and operational requirements; and/or interact with high level executives.  The assistant’s work is performed under the general supervision of the MD.

 

Description of Responsibilities

· Facilitate internal and external calls and assist employees and clients as necessary.

· Assist with preparation of presentation materials; and generate data reports as requested.  May be assigned project work and other related tasks.

· Coordinate travel arrangements and maintain calendar for supervisor and/or team members.  Schedule meetings and appointments as requested.

· Help maintain multiple databases with some data entry. 

· Supervisory and compliance tasks are directly related to licensing (Series 7 and 24) and will include multiple components.

 

QualificationsGeneral knowledge and work experience within the securities industry preferred.Excellent verbal and interpersonal skills, as well as phone demeanor.  Ability to demonstrate discretion in handling confidential data and dealing with high level executives.Excellent organizational skills with attention to detail.  Ability to prioritize and handle multiple tasks in a fast-paced, high pressure environment.  Working knowledge of MS Office, including Excel and PowerPoint.Bachelor’s degree and/or 5 or more years of experience or equivalent combination of education and experience.Series 7, Series 63, and 24 licenses will be required within 3 to 6 months of start date.The ability to work in a team–oriented environment.
