Administrative Assistant (Clearing Services)

Southwest Securities is a major securities clearing firm with approximately 200 correspondent clients and 5,000 affiliated sales people in the United States and abroad. Clearing Services maintains client’s accounts and performs administrative services for its correspondent clients.  ResponsibilitiesFull time administrative support to the Relationship Management, Sales, Marketing, Product Development and Client Service TeamsResponsible for the effective time management and direct administrative support of the assigned department members Organize travel and meetings as necessaryCoordination of travel activities such that they fit calendar events within the departmentExpense reporting and invoice processingFormatting, organizing and editing PowerPoint presentation materialPreparation of routine reports, letters and other documents as requiredManagement and coordination of meetings and events as requiredCoordination of departmental office space and equipment, preparation and orientation for new hire/ transfer employees including relocation, office space, paperwork processing

 QualificationsExcellent computer skills with various software applications in MS Office (Word, Excel, PowerPoint, Outlook)Excellent knowledge of general office procedures and practicesFlexible, able to handle multiple tasks, requests and multiple supervisors, able to meet deadlines and balance shifting priorities under pressure, and complete assignments in a timely matterExcellent interpersonal skills as well as verbal and written communication skillsExcellent project coordination and organization skillsStrong sense of urgency, priority and the ability to manage multiple prioritiesCombination of assertiveness and diplomacy is a critical skill
