Major Purpose of job: Performs a wide range of duties depending on the section to which assigned including accurate verification of authorized payment approval, timely processing of domestic and foreign invoices, refunds, reimbursement requests and travel expense reports. Support preparation of Insurance Premium payments, domestic and foreign payments and drafts, PAC payments. Preparation of documents, and form letters, reconciliation of accounts, and related accounting activities. Possible cross training across financial responsibilities within the company. Support training of systems within Accounts Payable to other employees.
Seeking highly motivated, energetic, team-oriented and flexible with superior customer service skills. This is very highly skilled accounting work in which incumbents are experienced in their assigned roles and working under direct supervision. OTHER JOB FUNCTIONS
· Assist in month end and year end AP close process and reconciliation reporting.
· Support integration and set up of new banking services.
· Assist in other AP manager’s responsibilities.
· Support the Insurance agencies on the Premium accounts and create payments.
· Performs the mail sorting for Accounts Payable.
· Prepares domestic invoices, reimbursement requests, travel expense reports, external interfaces, International invoices and related assignments by combining information from one or more file or database.
· Prepares external wire payments and foreign currency transactions.
· Reviews for accurate authorization approval on all payables requests.
· Reviews the accuracy of invoices, journal vouchers, and related accounting data and makes corrections as needed.
· Enters data into files, databases, journals, and other accounting records and checks the accuracy of entries.
· Contacts other employees, member firms, registered representatives, business firms, and government agencies to obtain or provide information.
· Enters codes onto documents or reviews the accuracy of codes entered by others.
· Support and process domestic and foreign payments.
· Assist in the preparation of the 1099 process.
· Discusses unusual situations with accountants or supervisors to confirm the appropriate action to be taken.
· Work closely with Financial Reporting Management on special projects as assigned.
· Work with internal and external auditors to ensure that supporting documentation with adequate explanation is provided in a timely manner to support audits.
· Prepares operating procedures in conjunction with Sarbanes & Oxley rules. Assist in SOX documentation and maintenance of new and current processes.
· Assist with software and systems upgrades and recommend and identify process improvements. Support coordination of new processes and integration of new companies.
EXPECTED QUALIFICATIONS
Education/Experience Requirements:
• BS degree in Finance or Accounting. At least five years accounting experience (either in public accounting or corporate accounting) demonstrating knowledge of financial reporting processes, systems and internal controls.
• Excellent leadership skills with one or more years of supervisory/mentoring experience of junior staff. Strong problem solving skill is essential.
• Broad experience in accounting, accounts payable, accounts receivable, fixed assets, and payroll preferred (to be able to understand and work with these groups to ensure books are properly reported and trouble shoot reporting problems)
