Event Coordinator, Special Events

Warner Bros. Studio Facilities is a complete production resource with over thirty different production services and rental departments – all integral components of the historic 110-acre Warner Bros. Studios lot and the adjacent 32-acre Ranch facility.   Our production-related services include; sound stages, exterior sets, construction services, grip, set-lighting, property, costumes, production catering, extensive audio post facilities, as well as, many support services that keep the Studio running on a day-to-day basis.

 

SUMMARY OF POSITION:

Manage the entire event production process from client inquiry (both internal clients and third party), to proposal development to execution of event parameters including food and beverage, rentals, staffing, art direction, entertainment, lighting, studio services, security, parking logistics.

 

Provide Food and Beverage support to Event Manager, including rentals, staffing, menu development, buffet layouts, internal/external vendor supervision, floor supervision and wait staff supervision.

 

Job Responsibilities:

·  Develop rental and staffing orders for events.

·  Develop proposals for events amounting to under $50,000.

·  Layout buffet tabletop design including all buffet rental equipment, plates, utensils, baskets.

·  Corresponds with clients, departments, & vendors via phone, mail, fax, & e-mail to arrange change orders, addendums, & revisions. 

·  Supervises internal/external vendors and temporary event staff on pre-event installation, event and strike.

·  Prepare Special Events packets for weekly staff meeting as well as Event staff packets for wait staff on events. 

 

JOB REQUIREMENTS:

·  Minimum of 1-2 years experience in fast paced, upscale on/off premise catering organization.

· Bachelors Degree Preferred.  Previous Studio Experience a Plus.

·  Must have proficient knowledge in food and beverage related areas for large catering and/or banquet facility. 

·  Proficient in Outlook, Word, & Excel.  Working knowledge of EBMS (Proposal Software), CAD Diagram software knowledge preferred. 

·  Self-motivated individual with ability to work in team environment. 

·  Flexibility to work long hours and some weekends, as needed.·  Special Events planning experience a plus.

·  Must be able to lift 50 lbs. or more.
