Office Administrator

Seafloor Geoservices, a newly formed Triton Group Company, provides offshore geotechnical equipment and services to the oil & gas, scientific and subsea mineral exploration industries.  We are seeking a versatile Office Administrator to help organize the efforts of this new office.   The successful candidate will have the ability to work under their own initiative and shall demonstrate a high level of commitment, competency and a dynamic approach to providing exceptional services to prestigious international clients.

 

Position Responsibilities:

 

·         Provide administrative support and make travel arrangements for management and team personnel.

·         Route incoming phone calls and mail correspondence.

·         Manage day to day office functions including through maintenance of office supplies and consumables.

·         Establish and maintain company forms, documents and filing system.

·         Coordinate IT needs of the office including computers and peripherals, cell phones.

·         Provide project cost accounting support for the Asset / Operations Manager as needed.

·         Coordinate project, CAPEX and OPEX purchasing and customer invoicing as directed by the Asset / Operations Manager and General Manager

·         Track employee working times and vacation and provide an accounting to management of employee vacation accrual status when requested.

·         Assist with new employee recruitment process, new employee induction and be the company HR point of contact with Triton Group HR Manager.

·         Administer employee payroll and benefits, process employee expense claims, company credit card accounts, subject to approval by General Manager.

 

Skills and Experience:

 Minimum 5 years of progressive office administration experience.Expertise with MS Office including MS Word, Excel, PowerPoint and Outlook.Strong self motivation and organizational skills and ability to multi-task and work under pressure.Effective verbal and written communication skills.Knowledge of financial management and general accounting practices is highly desirable.Some local travel required (minimal).
