As an Executive Assistant - Sales, you will provide organizational and administrative support to the Senior Vice President, Sales and departmental staff, exercising considerable independence and sound judgment in making decisions.  Interface with internal and external contacts and performs assignments of a sensitive nature requiring a high level of independence, discretion and professionalism.

 

This position will perform diversified, complex and confidential administrative duties for the SVP and departmental staff.

 

 

Specific tasks for this position will include but are not limited to:

 

· Takes initiative to relieve SVP of routine administrative duties while keeping SVP informed of actions taken.

· Maintains the SVP’s outlook calendar and distribution lists.  Schedules meetings, prepares and distributes meeting materials.  May attend meetings, take notes and prepare meeting minutes. 

· Independently creates original drafts of documents as directed by SVP and department staff.

· As requested, may attend meetings on behalf of SVP.  May independently initiate and manage projects that involve team members from different departments and levels of the organization.

· Fields general inquiries to the Sales Department (responds to prospective customers with general information kits by phone, email and mail and direct to regional Business Development Manager as appropriate).  Uses knowledge of product line and general sales process to screen callers and prevent overload on the Business Development Managers.

· Assists Sales department with customer contact information in SAP. Assists with updates to data as required.

· Assists SVP and Sales staff with Power Point Presentation material.

· Interfaces with internal and external contacts requiring considerable discretion and initiative including independently answering telephone inquiries and correspondence.

· Maintains departmental files and records per established procedures.

· Codes and reconciles all departmental invoices.

· Coordinates customer meetings and arranges appointments for the department.

· Coordinates internal seminars, workshops and meetings for Sales Department (books meeting space, arranges lunches, prepares meeting agendas, etc.).

· Creates SVP and Director expense reimbursements and completes monthly SAP coding.

· Develops, maintains and keeps current departmental mailing lists for events and correspondence.

· Miscellaneous general administrative support as needed for Sales Department.

·  Assists with scheduling and planning of Sales Department involvement in conferences and seminars.

· Performs other duties as assigned by manager.

 

Interested candidates must meet the minimum qualifications:

 

§ Bachelor’s degree or equivalent combination of experience and education totaling 4 years administrative support, preferably within a sales organization supporting senior management.

§ 5+ years direct administrative duties for VP or SVP level management.

§ Demonstrated ability to effectively prioritize and manage multiple tasks concurrently.

§ Capable of organizing and managing small projects with strong follow-through and problem-solving skills and the ability to meet deadlines.

§ Requires initiative and the ability to analyze, organize and carry out projects with minimal instruction.

§ Strong organization and follow-up skills and strong attention to detail.

§ Knowledge of business English and the ability to professionally and independently prepare business documents including letters, memos, and business cases / presentations.

§ Excellent oral and written communication skills

§ Ability to maintain confidentiality.

§ Strong interpersonal and customer relations skills.

§ Action oriented, proactive and problem solver.  Must be able to make sound work decisions in accordance with company rules and regulations.

§ Ability to handle constant change with ease and flexibility.

§ Ability to exercise good judgment and decision making skills.

§ Strong ability to take initiative.

§ Advanced application of Excel, Word and PowerPoint.

§ SAP experience preferred.
