Executive Administrative Assistant with Executive Experience

DLB Associates is seeking a team-oriented, highly motivated Executive Assistant to support the President of the firm for our headquarters in Eatontown, NJ. We offer full service Engineering Management and Construction services in the US and abroad.

 

This position will work closely in a team environment to provide Executive Administrative support to the President of the firm.



Position responsibilities include but are not limited to:

 

· Extensive calendar management

· Extensive task management

· Coordination of travel arrangements

· Meeting scheduling and coordination

· Completing dictations and taking meeting minutes

· Reviewing and summarizing voice mails and emails

· Document tracking

· Mail processing

· Other duties as assigned

 

Position requirements:

 

Candidates must be good problem solvers, focused on effectiveness, organized, flexible, self - directed, and must possess a sense of urgency as well as the ability to work unsupervised at times. The ability to manage change and frequent interruptions is vital to this position.


Other requirements for this position include:

 

·A minimum of 5 years of Executive Support experience, preferably for an Engineering or Architectural firm.

·Experience with managing calendars, coordinating tasks and handling a large work volume in a very fast paced, technologically advanced environment is critical.

· Exceptional computer skills including Outlook, MS Word, Excel and Power Point.

· Careful attention to detail and accuracy; exceptional proofreading proficiency is essential.

·The ability to handle and maintain confidential reports and information with discretion.

·  The ability to interact with all levels of staff effectively. 

·Outstanding verbal, written communication skills and interpersonal skills.

·The ability to effectively handle different types of personalities.

·An Associate’s degree in administration or a related field preferred.
