Awards Program Assistant (Administrative Assistant II)
AWARDS PROGRAM ASSISTANT (ADMINISTRATIVE ASSISTANT II), Lemelson-MIT Program (LMIT), to provide complex and diverse administrative support and undertake independent administrative assignments and provide administrative support to the Finance and Data Management Office as needed. Will schedule diverse and complex appointments and meetings; compose and edit program documents; interact with faculty, staff, and students at MIT and with award nominators, judges, and winners regarding program objectives; respond to inquiries regarding the program and ensure inquiries are addressed and resolved; aid in recruitment of award nominations which entails soliciting and reviewing submissions and communicating decisions to participants; maintain and create databases, files, and records; create appropriate filing systems to meet the changing needs of the office; and perform related responsibilities as requested. Will also help maintain recruiting database, manage mass communications flow, and design templates and reports to accurately record historical data and support office operations.
REQUIREMENTS: a minimum of five years' direct/related experience in a professional administrative support position; strong written and oral communication skills; excellent interpersonal skills for interacting with a diverse group of faculty, staff, students, and visitors; tact; good judgment; initiative; attention to detail; solid organizational skills; and ability to work both independently and as part of a team. Ability to multitask despite frequent interruptions important, as is discretion and ability to maintain confidentiality. Proficiency with all Microsoft Office applications required, as is ability to quickly learn additional computer applications. Macintosh experience and a bachelor's degree or equivalent combination of education and experience preferred. MIT-00005628-5 8/4/08
