Administrative Officer
ADMINISTRATIVE OFFICER, Mathematics, to provide counsel and comprehensive support to the department head, faculty, students, and other staff members regarding finances, personnel, operations, strategic planning, and other policy matters. Will develop reports for annual budget process, strategic plans, annual president's report, outside professional activities report, and other special studies; support senior faculty serving in administrative management roles; maintain statistical data; oversee faculty and instructor search process; assist new hires with relocation and provide orientation; monitor tenure-track promotions, appointments, and retirements; develop budget and financial projections; work with human resources administrator to interview, hire, train, supervise, and manage staff; act as a resource on issues associated with graduate and undergraduate academic programs; consult with development officer on development plan and initiatives and assist with stewardship process; oversee monitoring of all departmental accounts; oversee pre- and post-research awards and all facets of sponsored research; oversee management of graduate student financial aid; coordinate building maintenance, refurbishment, space changes, and environmental health and safety; meet regularly with staff to collaborate on problem solving and goal setting; and handle other duties as directed.
REQUIREMENTS: a bachelor's degree (MBA preferred); five to seven years' experience in all aspects of university administration in a management role; excellent analytical, financial, and writing skills; advanced knowledge of financial management, accounting principles, databases, and spreadsheets; outstanding supervisory, interpersonal, and communication skills; demonstrated organizational skills; ability to manage changing and conflicting priorities; and the good judgment, tact, and discretion needed to handle sensitive and confidential matters. MIT experience strongly preferred. Knowledge of MIT financial, human resources, and operational systems highly desirable. MIT-00005769-Q 8/20/08
