ADMINISTRATIVE/MARKETING ASSISTANT

We are currently seeking a Administrative/Marketing Assistant to provide administrative support to the Director NW District; the NW District Marketing Manager; and Project/Client Managers to assist in various duties as needed.DUTIES AND RESPONSIBILITIESResearch primary/secondary clients websites and download CIPs, TIPs, Budgets, etc;Request, organize, and maintain subconsultant directory and general introductionsTransfer master resumes to SF330 formatAssist with setting up project profiles into TYLI formatAssist with gathering information for RFP’sHelp monitor specific client sites, blogs, e-newspapers, internet, etc. for advance project notices and client informationHelp identify opportunities for community involvementAttend pre-proposal meetings, local agency council meetings, project meetings and community meetings as needed, and report findingsCoordinate and help staff booth for trade shows, and conferencesCopying, scanning, setting up and maintaining paper and electronic filing systemsAssist with maintaining project files, contracts and amendments, sub-contracts, agreements, billings, relevant communications, etc.Distribution of mail and faxesAdministrative liaison between Portland and Salem office.Other duties as assigned QUALIFICATIONS

Requires 2-3 years of clerical experience with increasing responsibility and proficiency in MS Office Suite (Word, Excel) and Adobe Acrobat.  Must possess strong communication and interpersonal skills, be a self-starter, motivated and well-organized team player.  Ability to work autonomously, multi-task and handle varying deadlines is a necessity. A desire to learn marketing arena and develop within the role
