Records Specialist (Engineering)

Involvement in the various records management activities. The responsibility of a records specialist varies with knowledge and the functional area of the organization which they support.
Primarily records specialist have three areas of responsibility:
1. Receipting and indexing records (complexity is based on document type).
2. Managing the flow of documents.
 Examples might be the tracking submittals between a vendor and project team; or the checking in and out of drawings between ATC and another organization.
3. Auditing and maintenance of the document collection.

- Involvement in the management of drawings, and other asset related documentation.
- Checking in and out of newly created or modified transmission line or substation drawings. This will require electronically filing drawings and entering associated metadata into the records management application.
- Process asset documentation received for project closeout. Documents may be in digital or paper format.
- Work effectively with our internal and external customers to identify and resolve documentation issues.
- Administer the drawing routing process for a given project group.
- The assembly and distribution of documentation for bidding and construction.
- Receipting of vendor documentation.
- Tracking of drawings between projects and consultants.
- Provide customer support in locating asset records.
- Perform routine records work, such as making and distributing copies, mailing, and maintaining files.
- Coordination of microfilming process.
- Maintain proficiency in required software applications.
- Organizing paper files to be stored offsite, as well as updating "offsite storage" database.
- Perform other records related duties as assigned to support the records management efforts.

Education:
- Associate degree with an emphasis in a technical area and/or relevant equivalent training and work experience.
Experience:
- At least 2+ years of progressively responsible experience providing administrative support in an engineering office environment.
- Some familiarity with drawings, engineering drawing management systems, and CADD software is a plus.
- Demonstrated knowledge of Microsoft Office products (i.e., Word, Excel, Access, Power Point)
- Demonstrated ability to coordinate information, scheduling and feedback with others while displaying good analytical and diplomatic capabilities when dealing with others.
Other Requirements:
- Physical demands may include but are not limited to the following; Sedentary work, close visual acuity, stooping, crouching, kneeling, handling, and lifting up to 25 pounds.
- Must possess a valid driver's license.
- Effective oral/written communication and interpersonal skills.
- Ability to effectively handle calls from consultants and vendors.
- Ability to exercise independent judgment.
- Ability to collaborate with others to meet deadlines.
