Position Summary
Performs a variety of administrative, regulatory filing, staff support, and planning activities. Reports directly to the manager of compliance reporting, analysis, and tracking, and supports other department managers and their respective staff.
Duties and ResponsibilitiesAssists in the preparation of regulatory filings.Supports the Board of Trustees Compliance Committee and Compliance and Certification Committee by preparing and coordinating meeting agendas, minutes, requests, etc.Catalogs and maintains all documents and correspondence for the reporting and data management, mitigation and enforcement, and executive areas of the compliance program.Composes, edits, and proofreads correspondence and announcements.Maintains the public compliance Web sites.Coordinates meetings, workshops, and travel arrangements.Coordinates projects and tasks with compliance administrative assistant and provides backup assistance.Assists other administrative assistants as necessary.Provides general support such as answering telephones, assisting and resolving problems and inquiries of visitors, review and control of incoming and outgoing correspondence, and follow-up on operational commitments, schedules appointments and maintains calendars.
RequirementsExcellent word processing skills including ability to use advanced formatting with Microsoft Word and Adobe Acrobat; ability to set up and use simple Excel spreadsheets and Access databases.MS Office (Excel, PowerPoint, Outlook, and Access).Excellent verbal and written communication skills.Ability to work well in a fast-paced deadline-driven environment without direct supervision.Ability to manage multiple projects and conflicting priorities while maintaining attention to detail.Demonstrated ability to work well with others at all levels of the organization and with others from all levels of other organizations.Demonstrated ability to think "outside the box" by making recommendations for improvements to processes and tools.Detail-oriented; proofreading; grammar.Ability to make administrative decisions.
ExperienceMinimum three (3) years as an administrative assistant.Legal or regulatory background preferred (Re: paralegal or legal secretary experience).
