Location:  Sacramento, CA

Description:

The Billing Specialist provides accounting support to assigned project managers to ensure correct booking, invoicing and closing of service projects within the accounting department.

Duties & Responsibilities:

The following list of duties is expected to be performed monthly during each billing cycle:
Set up new projects in Project Accounting.  An email should be sent to the PM advising them on the new project number within 48 hours of receipt. Project Maintenance – Any changes that are requested to be made to a project set up should be processed within 48 hours of receipt. T&M Billing – All T&M invoices should be drafted, sent to PM’s for approval, processed and posted in Khameleon by the 15th Business day of the month.  The only exceptions are if the PM has not approved the invoice draft. Fixed Price Billing – All Fixed Price invoices should be processed by the estimated bill date in Khameleon.  If the PM changes the scheduled billing date, the new date should be entered into Khameleon by month end. Time and Expense corrections requested by the PM should be made in a timely manner so that the invoice can be processed and posted by the 15th business day of the month. OE Set Up and Invoicing – All OE orders should be set up and invoiced before month end.  Any Reference Case Reports associated with a project set up should be set up at the same time the project is set up. Maps Invoicing – Maps invoices should be processed once a week.  All map orders need to be processed in the same month they are originated. Responding to emails – Emails need to be acknowledged or answered in a timely manner.  If a task cannot be completed within the same day, reply with an estimated time for completion. Other duties as assigned.
Required Experience:
High School Diploma Prior related experience preferred Basic accounting knowledge with emphasis in billing Job costing and contract review experience, a plus Must be flexible and willing to perform a variety of tasks as needed Experience with one or more accounting software applications Specific knowledge of the following computer applications is required Microsoft Office, i.e., Word and Excel

While performing the duties of this job, the employee is regularly required to sit for long periods of time; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee may be required to lift up to 25 pounds up to shoulder level. The employee may be required to climb up and down several flights of stairs in order to reach their work site and to meet with other members of the company’s staff.  Specific vision abilities required by this job include close vision.
