ABOUT THE POSITION
EXECUTIVE ASSISTANT
Responsibilities:
· Performs all administrative/support activities for senior executives. These include: 1) meeting planning and coordination, 2) maintaining schedules, 3) arranging and coordinating travel plans, 4) screening and processing mail and telephone calls, 5) organizational support such as filing, office supplies, etc.
· Interface with executive staff members as required; publish meeting agendas/minutes as appropriate.
· Administration of department action item reports.
· Handle and organize high volume paper flow by according to priority level.
· Prepares spreadsheets, word processing documents (memos, letters), and business presentations using presentation software.
· Self-initiates frequent and timely follow-up of pending action items with staff.
· Works with budgets, cost tracking systems, schedule tracking systems and company performance metrics.
· Administration of company action item reports.
· Maintains and updates departmental databases and advises of status.
· Special projects as assigned
Minimum Technical Requirements (may be tested at employer's discretion):
· Able to administrate highly complex and confidential legal, financial, and personal matters.
· Excellent interpersonal skills.
· Aptitude for working with numbers.
· Excellent analytical skills.
· Excellent verbal and written communication skills.
· Highly proficient in spreadsheets, presentation software, databases, and word processing.
· Strong organizational skills with proactive orientation.
· Self-motivated, can work independently and maintain a positive attitude
· Types 70+ wpm.
· Excellent follow-up skills with a bias toward action.
· Proficiently uses all standard office equipment (FAX, copier, multi-line phone, etc.)
· Professional telephone manner.
