Administrative Assistant & Receptionist The Administrative Assistant/Receptionist will be responsible for handling, directing and screening all incoming and inter-office calls at Evergreen Solar, Inc. Welcomes visitors and notifies appropriate company employees of visitors' arrival. Operates a desktop telephone console and directs calls appropriately. Specific responsibilities include: Ensure that all calls to Evergreen Solar are answered in a timely, professional and courteous manner. Ensure that copier, printers and fax machines are in working order and toner supply is adequate. Organize meetings and conference calls, including refreshments, meals and supplies. Sort incoming and outgoing mail, including faxes. Maintain stamp machine by refilling and ordering postage when necessary. Prepare FedEx packages for pickup. Maintain kitchen and coffee supplies (plates, forks, spoons, etc.) Coordinate and monitor vending services. Order office supplies for both Marlboro facilities, including nameplates, business cards and maintaining supply cabinet with appropriate supplies for all shifts. Assist in travel arrangements and accommodations for management team as needed. Administer I.D. badges for visitors, employees and contractors. Also, maintain visitor wireless network access. Provide clerical and administrative support to the Human Resources department, including, but not limited to, tracking of employee paperwork data entry, invoicing and event planning support. Provide back-up support as needed to Operations Executive Assistant. Ensure common areas of building are kept clean, organized and presentable. Direct custodial staff as needed. The successful candidate will have the following: Two plus years of related work experience as a Receptionist is required. A high level of proficiency with software such as Microsoft Excel and Word is desired. Proactive and able to work independently. A commitment to excellence as well as strong attention to detail. A desire to grow with a dynamic company. Excellent written and verbal communication skills. Individual must have a professional and pleasant demeanor for incoming visitors and guests. Proficiency in MS Word, Outlook and Excel is helpful. Must posses excellent phone skills, be a team player, and be able to multi-task. Prolonged, extensive or considerable sitting and answering phone console.
