Department Dean of Undergraduate Students - 645
This position is responsible for assisting in the the building management, event planning, computerized room reservation systems, financial duties, website administration and providing clerical support for the Carl A. Fields Center.

Responsibilities:

Assists in the management of the activities/events associated with the Fields Center; orders food/supplies and assists with set-ups and breakdowns; prepares invoices and other financial forms; maintains calendar and schedules meetings using the Outlook calendar; reconciles project grants; contacts off- campus vendors, DJs, performers and speakers and manages administrative tasks regarding their visit; answers telephones and takes messages; trains, supervises, distributes tasks and monitors the workflow of student workers; administers the Center's use of R25, a computerized room reservation and resource management system that includes collecting requests from online forms, managing the corresponding database, determining the appropriate required university resources and contacting various departments to determine the appropriate level of service; updates/edits the Fields Center website; creates weekly computerized newsletters; maintains and updates electronic listservs; performs various clerical tasks such as filing and sorting.

This position is a one year term appointment, reporting to the Assistant to the Dean / Office Manager in the Office of the Dean of Undergraduate Students.

Must have excellent organizational skills, the ability to multi-task, exercise discretion and exhibit good judgment, good communication skills (both verbal and written) and excellent interpersonal skills. Must be proficient in Microsoft Office applications and email. Must have technical skills necessary to edit/update websites.
