Program Assistant V: Major Gifts and Stewardship

JOB DESCRIPTION:The program assistant will provide administrative support to the Senior Associate Vice President (SAVP) and the Director of Stewardship and Regional Programs (DSRP), working as a member of the USF Development team. This position focuses on the long-term involvement, solicitation, and stewardship of major gifts prospects and donors and on coordination of regional activities for alumni, parents, and friends.  ESSENTIAL JOB RESPONSIBILITIES:Provide administrative support to the SAVP and DSRP 

Schedule visits and meetings with prospects, donors, volunteers, and University Staff for the SAVP and DSRP 

Track department's budget processes, including bill payment and tracking of spending by both departments 

Draft and proofread correspondence for the SAVP and DSRP 

Manage and coordinate communications via the online Convio system 

Set up effective follow up systems to ensure deadlines are met 

Ability to research responses to external and internal queries 

Make travel arrangements for the SAVP and DSRP 

Prepares purchase card expense reports for the SAVP and DSRP 

Interview, hire, and supervise student assistants 

Set Regional Council meetings and prepare minutes for Regional Council members 

Provide scheduling support for Major gift officers as needed 

Serve as Back up support for Office of the Vice President as needed 

Order supplies/initiate and renew subscriptions  Perform other duties as assignedREQUIREMENTS:Three to five years experience in an executive secretary / administrative position 

Able to work independently and within a team on special projects on behalf of the Division 

Able to work with minimal supervision in a fast-paced environment while handling many duties simultaneously 

Strong priority management and attention to detail, including the ability to prioritize multiple tasks with minimal input from superiors 

Treat sensitive information with the highest level of confidentiality 

Ability to communicate with donors, volunteers, and co-workers in a professional, concise, and diplomatic way 

Excellent telephone skills 

Superior knowledge of syntax and grammar 

Advanced word processing skills and knowledge of computer programs such as Microsoft Word/Excel/PowerPoint, including Photoshop, FileMaker Pro, and Meeting Maker 

Knowledge of office record keeping systems
