Office Administrator & Visa Coordinator

Established educational travel service provider seeks International Visa Coordinator & Office Assistant. Coordinator handles all aspects of visa application process including:

• Creating customized visa application forms for each university program (from the program itinerary)
• Recording passport information when received and notifying participant.
• Checking individual visa applications to ensure all forms are filled out correctly. Following up with individual participants until forms are accurate.
• Sending completed forms, visas & passport photos to the correct embassy in Washington DC or consulate (if jurisdictional visa required).
• Interfacing directly with individual participants who carry non-US passports to address special visa requirements on a case-by-case basis.
• Liaising with Visa specialists in Washington at our preferred vendors for special-case visas.
• Working closely with the account manager responsible for the program to ensure all potential visa issues are addressed.



Position also assists in general administrative office tasks such as:

Email, fax & mail distribution

Answering phones and directing callers to the appropriate account manager responsible for their program

General additional writing and research duties as assigned


Qualifications:

• Ideal candidate has a minimum of 3 years customer-facing experience working in a small (less than 15 employees) team-oriented office environment.
• Candidate must have a demonstrated background in highly-detailed environments, such as accounting, banking, retail or inventory management, medical records or other related fields.
• College degree preferred.
• Candidate possesses excellent time management and organizational skills, strong attention to detail, interpersonal skills and a positive solution-oriented attitude.
• Candidate is able to balance customer concerns with business considerations while working in fast paced, deadline-oriented environment.
• Good verbal and written skills, clear and professional telephone demeanor.
• Mastery of Microsoft Office Products (Word, Excel, and PPT) and ease with conducting Internet searches a must.
