Duties And Responsibilities: Performs complex secretarial and administrative duties for busy University Professor. Serves as principal contact and liaison between high profile professor and many correspondents throughout the world. Responsible for management of all administrative and office systems. Provides assistance with extensive calendar management, course preparation, research support, and general administrative support. Takes dictation of correspondence, often via phone, using computer. Composes, types, and edits correspondence and reports including recommendation letters, memos, and emails. Compiles and edits complex proposals. Responsible for submitting reimbursements to departmental financial team and for processing online financial transactions including payments and reimbursements. Types and assists in preparation of lecture and course materials. Handles complex travel arrangements and scheduling. Retrieves articles from Harvard Library system and downloads materials from the internet. Maintains faculty and course home pages. Serves as liaison with other faculty affiliated University departments. Performs a variety of duties in support of the department administration.
Required Education, Experience and Skills: College background preferred. Strong typing and dictation skills; speed is quite important. Three years related experience in academic environment. Must have excellent verbal/written communication and customer service skills; excellent interpersonal and organizational skills; ability to handle multiple projects simultaneously. Successful candidate must be flexible, able to use independent judgment and must be detail-oriented and accurate. Must be able to process financial transactions accurately and comply with established procedures. Strong computer skills (MS Word, PowerPoint, Excel, HTML, Internet, email) required.
Additional Information: Strong possibility of overtime and/or 9:00 to 6:00 work schedule. Position begins in early fall 2008.
