Executive Secretary/Center Liaison

The Executive Secretary/Center Liaison provides administrative support for the programmatic activities of the Center for Global Business and Development, the Capital Center for Government Law and Policy, and the Center for Advocacy and Dispute Resolution and their associated Institutes. This position is responsible for overall office management of the activities of the Centers, and provides primary administrative support to the Director, Programs of Distinction and the Assistant Director for Center Activities.
Essential Duties and Accountabilities:
*Handle all logistics for Center conferences, symposia, workshops, and other Center activities, to include preliminary budget projection, research and secure conference venue (on-campus and off-campus), catering agreements, communication with speakers (i.e., travel and AV needs, meeting materials, reimbursements), invitations/brochures, mailing lists, and all other support needed for success.
*Provide primary administrative support to the Director, Programs of Distinction, and Assistant Director for Center Activities, to include travel arrangements.
*Maintain the websites for the three Centers in coordination with the Assistant Director for Center Activities and the Assistant Director for Graduate Programs.
*Support the International Board of Advisors and other advisory boards that may be established, including coordination of travel and lodging arrangements for board members, preparation of minutes and other board activities.
*Provide overall office management; including ProCard reconciliation and other financial management, processing of time sheets and other paperwork, maintenance of supplies and other daily office needs.
*Support the academic programs and student life activities associated with the Centers as needed, with particular emphasis on August and January of each year.
*Perform other duties as assigned.
Qualifications:
* Two years of formal education of a business or commercial nature.
* Three years of full-time, responsible clerical work.
*Exceptional verbal, written, organizational, and interpersonal skills required.
*Ability to maintain rules of confidentiality and perform detailed work with accuracy and efficiency.
*Work effectively under deadlines; perform independent research in carrying out administrative and technical duties.
*Handle multiple project assignments and determine proper course of action to meet deadlines.
*Demonstrated ability to develop and establish relationships at all levels and in cross-cultural environments.
*Willingness to demonstrate diplomacy, tact, and innate sense of customer service.
*Advanced skills in MS Outlook, Word, Word Perfect, Excel and PowerPoint.
*Experience with database management and internet research.

Commensurate with experience.
