DIVISION ADMINISTRATIVE ASSISTANT - LEARNING CARE GROUP
Learning Care Group is currently seeking a dynamic and experienced Division Adminstrative Assistant. As the direct assistant to the Division Vice President and supporting the divisional Management Team, this position will perform advanced administrative duties requiring a strong knowledge of buiness practices and procedures.This position will be based out of our Division Office located in Ontario, CA.Division Administrative Assistant responsibilities: Coordinate travel arrangements, prepare travel expenses, schedule appointments, event/meeting planning, data entry, field support and various projects as assigned. Compose, type and file routine correspondence and other records. Keep Division phone lists current, monitor School supply orders. Develops, maintains, and implements multiple projects of varying depth and scope. Coordinates information flow, i.e. service levels, conference calls, budget concerns, etc. between Divisional operations and other areas of the company. Provides customer service through answering and directing calls, greeting visitors, and communicating with internal and external contacts. Compiles and prepares statistical reports and maintian school licensing files. Sends out reminders to District Managers & Directors regarding project completion requests and due dates. Maintains Division Office order and organization, including set-up and clean-up for Division meetings and training. Prepares and submits Accounts Payable Reconciliation for DVP and Division staff as required in a timely manner. Maintains Division's school phone lists, emergency contact numbers, and birthdays for Directors and Assistant Directors. Other tasks or projects that may be assigned by Divisional VP. Skills & Requirements: HighHigh School Degree or equivalent Prefer 4-year degree or equivalent experience workingin a fast-paced environment. Strong verbal and written communication skills. Advanced MS Office suite skills. Excellent Customer Service Skills. Strong organization skills and attention to detail. Flexible and willing to adapt quickly due to priority changes.
