Assistant to Director
Required+Bachelors degree and at least 3 years experience with significantauthority and responsibility in administrative or professionalpositions+Demonstrated ability to plan and lead multiple projects and priorities+Excellent communication skills (both written and oral)+Experience in preparation and design of complex documents+Strong computer skills including the ability to work on multiple platforms and with a variety of software systems+Strong organizational skills+High degree of professionalism
Preferred Criteria:+Graduate or professional degree in relevant field (mathematics, science or public or business administration) highly desirable+5 years diverse public/private organizational experience, preferably in higher education+Knowledge of sponsored project administration+Supervisory experience+Mathematical or scientific background a plus+Experience with Linux operating system a plus
The Assistant to the Director will work under the supervision of theDirector to ensure the smooth and successful operation of the IMA andto design and implement a broad range of activities to advance the IMAmission. The Assistant to the Director serves as the designatedadministrator for the Unit and represents the IMA on administrativematters within the University and externally. Working independently orin collaboration with the IMA management team, the Assistant to theDirector duties will consist of:
Reporting and assessment (35%)+Evaluation of IMA activities+Collection and analysis of survey and feedback data+Preparation of annual report+Preparation of reports to funding agencies
Public and external relations (45%)+Oversee the design and distribution of publicity materials+Negotiate contracts and agreements with academic and industry partners+Provide reports to IMA partner companies and institutions+Assist in preparation of grant applications+Represent IMA at certain IMA functions+Support development efforts
Event and meeting management (15%)+Work with staff on planning and management of advisory meetings, Board of Governor's meetings+Attend advisory and Board of Governor's meetings, keep records, prepare minutes and ensure follow-through
Institute operations (5%)+Assist in hiring+Other
The Institute for Mathematics and its Applications (IMA), a unit withinthe Institute of Technology, is a premier national interdisciplinarymathematical research center. A partnership between the NationalScience Foundation, the University of Minnesota and a consortium ofparticipating universities, corporations, and government labs, the IMAis the largest mathematics research investment of the NSF. The IMAfosters interdisciplinary mathematical research through an extensiveprogram of workshops, tutorials, conferences, and other activities, andthrough an extensive visitor program, which together bring about 1,000mathematicians and scientists to the IMA annually.
