Position Overview:
The Ph.D & M.A. Program in Political Science has 200 students and 60 faculty members. The Assistant Program Officer serves as program manager and resource person for applicants, students, and faculty regarding requirements and procedures of the Ph.D. program. Reports to the Executive Officer (EO) under the direction of the Provost. In conjunction with the Executive Officer, evaluates and monitors student progress in fulfilling requirements for the degree. Including major program examinations, language requirements, advancement to candidacy, and meeting time limits for completion of the degree. Â

Reporting to the Executive Officer of the PhD Program, the Assistant Program Officer has the following responsibilities: Serves as liaison between the program office and departments at CUNY colleges as well as affiliated institutions. Serves as liaison with Graduate School and university Center (GSUC) administrative offices including Student Affairs, Student Services, Information Resources, Academic Planning, Public Affairs and Publications, and Research and University Programs. Manages all program operations including admissions and registration activities, budget allocations, correspondence, records and files, committee meetings, colloquia and special events. Coordinates student registration; transfer of advanced standing credits; preparation of forms for leave of absence, withdrawals, changes of program; processing of level changes and results of First, Second, and Language Examinations; analysis of satisfactory progress reports. Evaluates student progress in fulfilling requirements for the degree using program records and the on-line student information systems (Student/Faculty Web and the EO Web page). Maintains a current record of students available for teaching internships, GTF's, tutoring, and research positions; informs students of opportunities for these as they arise. Posts notices of position announcements; sends announcements over email; tracks student progress in the job search and keeps Executive Officer informed; schedules mock interviews; coordinates annual Job Search forum with Placement Officer and Executive Officer. Determines specifications for, compiles, and prepares statistical data as required by external professional accreditation agencies and state or federal regulators. Reviews and edits program documents to ensure compliance with program policy and procedures. Coordinates activities of the program Admissions Committee and advises Admissions Chair on procedures. Advises applicants regarding general program requirements and refers them to appropriate faculty for further advisement and evaluation. Advises the Admissions Office of the disposition of applicant files and of any prerequisites for entrance into the program; supplies admissions with up-to-date informational materials. Converts various information sources into relevant Excel documents, such as student and faculty contact information, student degree progress, First Exam registration and status, and other data described within these duties. Responds to requests for program information and compiles periodic reports for various offices of the GSUC. Prepares and supervises mailings (both email and US mail). Uses Microsoft Word to design posters and flyers advertising events.       Coordinates program course offerings, descriptions, and scheduling each semester; prepares course list for the Registrar each semester with updates and revisions as needed. Maintains file of all current and past course descriptions. Prepares a yearly budget for program activities with the Executive Officer. Coordinates, supervises, and evaluates activities of part-time staff such as college assistant and research assistants assigned to faculty members and the program-office. Orders all equipment from purchasing; oversees maintenance of all office machines computers, printers, fax, copy machine, telephones. Instructs faculty in the use of these machines. Schedules all First, Second, and Final Exams, as well as language exams. Proctors First and language exams. Serves as Recording Secretary for Executive Committee. Serves as webmaster, uploading and updating information for the Program's web page. Other related duties as assigned.

QUALIFICATION REQUIREMENTS:
 B.A. Strong verbal and written communication and interpersonal skills ·        Excellent computer skills including Microsoft Office Suite Excellent organization skills, including attention to detail Budgetary experience Â

Preferred: 1-2 years of administrative experience M.A. in related field, such as Higher Education Administration or College Student Personnel Experience with Dreamweaver Supervisory experience           Â

SALARY: $33,454 - $44,062 Commensurate with quallifications and experience
