Assistant Manager - Stanford University
Assistant Manager - Division of Literatures, Cultures, and Languages (DLCL) Administrative Staff Management (35%): Hire, supervision and performance management of administrators of five DLCL academic departments, as well as related coordination of intra-departmental administrative activities. Includes ability to execute and train staff in routine financial transactions (petty cash, journal transfers, purchase requisitions, payments, reimbursements, use of procurement cards; basic financial reporting and budget tracking and reconciliation) and responsibility for approving such transactions (limit $1500). Requires a familiarity and experience with the university’s financial and Peoplesoft systems as well as the ability to reconcile expenditures, create and manage annual dept. budgets and produce basic financial reports. Support depts. and assist division with depts. year-end close. Area of responsibility also includes human resources administration, specifically the hiring and supervision of students and other casual or temporary employees for depts. Faculty Affairs (25%): This position functions as a liaison between departments and the division and consults with the School of H&S Faculty Affairs Officer in matters pertaining to assembling faculty files (hire, re-appt, tenure and promotion). Responsible for support of department chairs and various faculty coordinating committees, developing new faculty appointment files and coordinating, scheduling, assembling and editing faculty dossiers pertaining to established school and DLCL standards for all faculty within the DLCL. Facilities/Operations & Property Management (25%): Assist Division Manager with facilities management by overseeing and executing bldg repair, improvement and maintenance issues and coordinating facility and space issues. Manage the assignment of space; implement and maintain related policies governing space and its allocation; management of Access Control System, bldg keys, maintenance of policy governing keys, and handling of key deposits and deposit refunds in coordination with other divisional staff. The Assistant Manager also serves as Property Manager for the DLCL (Dvsn and Depts.). Special projects as needed (approximately 15%): Perform project, facility, website and related project or analysis as directed by the division manager; serves as back-up to the financial analyst and department administrators as needed. Collaborate with other staff in planning, dept website maintenance, coordinating, and arranging departmental and divisional events such as symposia, orientations, technical training of dept admins, as well as DLCL commencement and other event activities; miscellaneous policy development and analysis at the departmental level. Provide assistance as needed to departments in coordination of curriculum development within the DLCL and between the division and school, including implementation of new divisional curricula in Stanford University Bulletin and the schedule of classes. Skills, Knowledge and Abilities required: Must have minimum 4-year degree. 2-3 years supervisory and team-building experience preferred. Must have understanding and experience with Stanford administrative systems as well as flexibility, good judgment, and ability to work collaboratively. Must have effective interpersonal abilities; excellent verbal and written communication skills, demonstrated excellent attention to detail; and be able to excel in a multi-cultural and international environment. Must be able to work independently, set priorities and take initiative within a changing environment with multiple interruptions. Project and event management experience necessary with a customer service orientation. Experience with basic faculity administration desirable. Be able to manage several projects/tasks at the same time; have strong networking and relationship-building experience.
