Administrative Assistant in the Office of Education

The Diocese of Palm Beach seeks experienced Administrative Assistant who can provide secretarial support to the office of Education. 

Applicant must include their salary requirements when applying to be considered.



Responsibilities

·        Maintaining all personnel, school and general diocesan office files for the Office of Catholic Schools, including teacher application files, termination files, teacher personnel rosters, periodical files, etc.

·        Preparing statistical reports (i.e.: NCEA Data Bank, FCC Report, Enrollment, Feeder Schools, Tuition, Quinquenial Reports, etc.

·        Handling all correspondence and bills associated with school personnel screening requirements, workshops, etc.

·        Preparing all deposits and check requisitions, keeping accurate and updated financial log, maintaining financial files, etc.

·        Acting as registrar for courses, seminars and workshops sponsored by the Office of Catholic Schools.

·        Performing clerical and administrative duties for the Superintendent, as directed: including items such as typing, copying, distributing, faxing, filing, processing incoming and outgoing mail, receptionist duties, scheduling meetings, making travel arrangements, composing documents, ordering office supplies, data entry, follow-up work, etc.

·        Coordinating document preparation for printing (i.e.: School Calendar, School Directory, Contracts, etc.)

This is a sampling of duties. Other tasks, responsibilities and duties may be assigned as needed.

Qualifications:

·        Excellent organizational skills and multi-tasking ability.  Good judgment, discretion, and a strong work ethic.

·        Adhere to the Diocese of Palm Beach Code of Conduct with a strong emphasis on confidentiality.

·        3 years of work experience in clerical support positions.

·        Knowledge of NCEA Data Bank system and reporting system of diocesan demographic files.

·        Knowledge of teacher requirements and credentialing or willingness to learn.

·        Knowledge of Office of Catholic Schools Fingerprinting Policies and Background Screening.

·        Proficient in computer literacy and Microsoft Programs (Word, Excel, Access, PowerPoint).

·        Self motivator and maintains strong peer relationships
