Administrative Assistant
Administrative Assistant to the Lewis Center for the Arts Chair person needed to provide executive level administrative support. Under the supervision of the Chair and Manager of Administration, the person in this position is the central point of contact for the Center. A sample of duties and responsibilities are: coordinate annual advisory council , student committee, and Arts Initiative Members (AIM) meetings; coordinate Hodder Fellowship application process; assist with travel logistics for guest speakers and artists, provide support for Irish Studies Program, prepare correspondence and itineraries, and provide hospitality for these guests upon arrival and the duration of their visit. Arrange, schedule, set-up, and oversee receptions. Collaborate with external and internal vendors and departments. Maintain accurate department account files and calendars; maintain databases, budget, data entry, backup support to department office staff, deliveries as required.
Assist with Performance Central events (approximately four per year). As Company Manager prepare contracts and negotiate for items such as transportation, housing, meals, and accommodations. Arrange for all the needs of lecture events, and for perrforming arts groups.
This is a general overview of tasks and responsibilities. Responsibilities are dynamic and may change as needed.
Education Required: Bachelor of Arts
Position requires a minimum of 2-3 years of related experience in events management/ coordination.
Flexible schedule required to accommodate evening and weekend events.
This is a 9 month paid position.

Successful candidate will be a highly organized, motivated person who is able to multi-task in a high volume environment. Incumbent must posse excellent word processing, proofreading, and data management skills, strong interpersonal skills, exceptional written and oral communication skills, and discretion in dealing with confidential material. S/he must also demonstrate an ability to exercise independent judgment, to make decisions based on established policies and procedures in supervisor's absence. Demonstrated proficiency in MS office applications required.
Preferred Qualifications: Knowledge of Princeton's DataMall preferred. Familiarity with Princeton University is a plus.
