OFFICE MANAGER / FINANCIAL MANAGER
Coca-Cola Enterprises is now hiring for an experienced Office Manager / Financial Manager to work at our facility located in Capitol Heights, MD.
JOB OBJECTIVE:
As a key member of the management team, the Office Manager must ensure compliance with all company policies and procedures while using analytical skills to be a resource to the Sales Center Management Team. The Office Manager will provide administrative and financial support services and analysis for the Sales Center and ensure accurate and timely internal administration and adherence to proper accounting and reporting procedures.
JOB RESPONSIBILITIES:
Management Role / Responsibilities:
Supervise administrative staff for the sales center: Sales Center Administrators,Route Process Administrators,Receptionist. Lead hiring process for any administrative staff positions within the sales center
Handle Performance Management process for direct reports
Train & Develop staff
Collaborate with Sales Center Management team
Collaborate with Shared Services and Business Unit headquarters
Participate in personal training & development opportunities
Financial Role / Responsibilities:
Assist in the annual operating budget for the sales center
Review monthly Operating Report for accuracy
Investigate material variances within the operating report
Prepare month-end accrual entry as necessary
Collaborate with Sales Center Management to ensure the accuracy of Labor Reporting
Lead the collection effort around NSF checks
Lead the analysis and resolution of all driver cash and product over & shorts
Monitor Presettlement and Cashiering activities to ensure accuracy.
Assist in Accounts Receivable efforts when necessary
Communicate capital expense items needed for the sales center
Process A/P invoices
Maximize EBP (electronic procurement) and company credit card utilization
Monitor and control operating expenses to include identification of savings opportunities in all departments
Internal Controls Role / Responsibilities:
Provide insight on Internal Control opportunities and implementation
Maintain Internal Controls Checklist and communicate status to management
Work with self-assessment coordinators to ensure controls are in place
Assist management in validating SOX (Sarbanes-Oxley) compliance
Administrative Support Role / Responsibilities:
Review & ensure payroll is processed accurately, timely & efficiently each week
Execute PAT (pricing exception) process as required by BU
Review & ensure that pre-settlement process is meeting quality standards
Review and ensure that cash is balanced and picked up by armored car service daily
Process customer refunds (mail-check)
Work with I/T to ensure that the sales center equipment needs are met (computers, printers, network, phones, etc.)
Maintain building security and card access system
Support the sampling/free goods process to ensure that there are proper internal controls
Lead the SAP to BASIS sales reconciliation for inventory & troubleshoot/resolve any identified problems between the 2 systems
Coordinate all general administrative activities as necessary (receptionist, phones, supplies, etc.)
Complete Fuel Tax reporting as necessary
Process HR new hire paperwork
Review and process incentive payments
JOB REQUIREMENTS:Bachelor’s Degree or equivalent business experience required.
Three to five years business office experience with similar responsibilities required.
Supervisory experience and ability to work as a team to accomplish tasks required.
Finance background required.
Payroll background preferred.
Salary range: $45K - $55K (Depends on experience)
