International Sales Operations Specialist

Carlsbad, CA 92008Status:   Full Time, Employee Job Category:   Business/Strategic Management Relevant Work Experience:   2+ to 5 Years Career Level:   Experienced (Non-Manager) The International Sales Operations Specialist assists in all functions of Sales Operations necessary to support International Sales for Subsidiary and Distributor markets.  Incumbent will work directly with many different departments to problem solve and coordinate needs of International Sales and provide guidance regarding the application of processes and procedures in unique situations to ensure the most accurate and consistently reportable end results. Incumbent will work as a liaison between HQ and the international regions to address issues regarding product distribution, order processing, customs compliance, custom fitting programs or other areas as needed.  This job will also represent the International Sales needs in cross functional meetings and projects as needed.   Essential Duties and Responsibilities · Assist with sales operations processes and special projects in support of international subsidiaries and distributor markets as directed; including coordination, definition, communication and documentation as needed. · Coordinate custom fitting requirements for international subsidiaries and distributor markets. Working cross-functionally with International Brand management, US Custom Fitting, R&D Program Managers, and regional international fitting contacts to define/document regional matrices/ SAP part number requirements/regional quantity and timing requirements. Share fitting plans across regions and ensure orders and shipments are executed effectively and timely. · Maintain a thorough understanding of the order processing tools and procedures to analyze unique situations and provide guidance to International Sales Reps or others regarding order entry to ensure accurate and reportable results. · Analyze product availability and coordinate with all levels of Planning and Production as needed to ensure processes for securing inventory for International Distributors or Subsidiaries with emphasis on detail for International Distributor markets. · Analyze supply and demand data and provide accurate estimates on stock status or expected availability for distributor group. · Support the Master Data creation and maintenance process to ensure international requirements are supported and efficiently implemented. · Occasionally lead or participate on internal and cross functional project teams on behalf of the International Business group to ensure international requirements (e.g. order processing, master data, custom fitting, etc.) are addressed and supported in new business processes or initiatives.  · Assist with sales operations process issues including: sales orders, purchase orders, customer master, credit, distribution, planning, and/or material master. Work with appropriate contacts to resolve issues and follow through. · Support the customs compliance processes with regard to product transfers between US and international business partners. · Provide analysis and recommendations regarding efficient and economical packing and shipping strategies to meet international demands based upon sales trends, customs requirements, shipping costs, and supply capabilities. · Provide guidance for order process reporting and discounts, and ensure processes are in place to support the program requirements. Work with SAP/Order Tool and Callaway-Connect teams to set up systems to support sales program needs for reporting and pricing defaults to ensure sales order efficiency and accuracy for distributor group. · Provide analysis, support and guidance for issues related to all account transactions (credits / debits / orders / drop shipments/ financial adjustments/returns/program discounts). · Maintain distributor price sheets for new products and price changes. · Assist with coordination of new product launches as needed. Act as the liaison with Planning and International Brand Management as needed to ensure processes are in place to execute international sales needs for distributors and subsidiaries; including but not limited to – irons set configuration definitions, warm weather launch needs, pre launch samples, sales meeting needs. · Clearly define / adhere to guidelines or processes related to certain Order Management / Sales Operations / Special Project functions. · Assist with the resolution of issues pertaining to Sales and Operations processes as they relate to the International Businesses including distributor markets and subsidiaries. · Create detailed reports using Business Objects / Business Warehouse and distribute a summary as needed to sales management and sales team. · Create and distribute regular and ad-hoc reports supporting Sales Operations. · Analyze data and take actions or make recommendations as needed in support of international sales operations.   Knowledge, Skills and Abilities · Solid knowledge of order processing concepts and procedures. · Advanced skill level in Excel and Word. · Excellent organizational skills and ability to recognize and react to critical business priorities among multiple projects and prioritize accordingly. · Strong communication skills, both verbal and written, with the ability to work with all levels of employees and international customers in a professional manner. · Able to read and interpret instructions, policy, procedures, program information, etc. and provide guidance to others regarding implementation and application, as well as identify areas of improvement. · Able to analyze unique situations and develop creative solutions to meet business needs. · Able to clearly understand business policies and effectively communicate and enforce them. · Forecast Planning and Supply Chain knowledge or experience helpful. · Business Objects/Business Warehouse experience a plus. · Fundamental understanding of ERP systems, specifically SAP, a plus.   Education and/or Experience · Associate’s degree, or equivalent combination of education and experience required. · Minimum 2 years experience in Sales, Operations, Logistics, or Supply Chain functions. · Exposure to International sales a plus.
