National manufacturer of consumer and professional home care products, with facilities on President's Island in Memphis, TN.

This position will provide administrative support to the Environmental, Health, and Safety department (EHS) and maintain a variety of regulatory, environmental, OSHA and other documents in Lotus Notes, System 9000 and other electronic or manual systems.  Work is performed under the general supervision of the EHS Manager with some discretion for the exercise of independent judgment in the completion of assigned tasks. 

§         Drafts, prepares, maintains, and distributes correspondence, memos, forms, policies, charts, graphs, and other documents and reports which require the use of office technologies and software applications; creates and modifies documents using Microsoft Office; may handle confidential and non-routine information.

 

§         Interfaces with internal and external contacts regarding EHS administrative issues; prepares and distributes EHS and production reports including various safety and environmental compliance and performance reports. 

 

§         Supports emergency response drill planning and execution; provides feedback for improvements.

 

§         Schedules and coordinates meetings, conferences, travel arrangements, and other department activities; may maintain group business calendar; creates EHS communication tools.

 

§         Scans MSDS’s into system and maintains up to date related information; uploads new/revised MSDS’ onto Barr’s website; provides maintenance support of MIRS/Netview MSDS software

 

§         Creates and edits Work Instructions, FCD’s and DCR’s; assists with training employees on the use of System 9000 OSHA database.

 

§         Leads office safety team; may participate in other team projects associated with the continuous improvement of company processes.

 

§         Provides general administrative support as necessary including answer and screen telephone calls, arrange conference calls, schedule meetings and appointments, set up and organize files, open and distribute mail, order and maintain department supplies, etc.



§         Performs other work and special projects as required by EHS Manager.

 

High school diploma or GED  and four to five years of administrative support experience is required; Associates degree a plus.  Must have excellent organization and administrative skills including the ability to prioritize and coordinate multiple tasks; effective interpersonal skills with the ability to interact with internal and external contacts and co-workers at all levels; effective oral and written communication skills; proficiency in personal computer skills and various software applications including spreadsheet, word processing, presentations, etc. (Microsoft Office preferred); working knowledge of Access (preferred)database systems; ability to establish and maintain effective working relationships within the Barr organization. Some overtime may be required.
