Collections Specialist

ACCO is currently seeking candidates for a Collections Specialist position in the Glendale office. Reporting to the Service Credit & Collections Manager – Building Services Division, this position will be responsible for the reconciliation of accounts and collections as well as performing research for customers regarding billing issues.
TYPICAL DUTIES:

1. Inform customers of past due balances by various means; including, second, third and fourth notices, mass mailings, emails and phone calls.

2. Handle customer inquires on outstanding invoices.  This would include faxing documents as requested by customer.  Researching any questions or disputes that the customer may have in order to determine the validity of the invoice.  Revise, adjust, or credit invoices as appropriate.

3. Reporting to Manager and assisting with the resolution of any issues with the field, dispatch or billing processes that are creating collection problems.

4. Prepare lien releases for Customers in order to get paid.

5. Process credits and adjustments for bad invoicing, scopes of work under warranty and other issues.

6. Prepare weekly credit agenda report for collection calls and weekly collections meetings.

7. Other duties as assigned by Credit & Collections Manager.

SKILLS, KNOWLEDGE, QUALIFICATIONS, & EXPERIENCE:
3-5 years experience with customer service and commercial collections, with commercial service industry or commercial construction industry experience preferred.Strong analytical and problem solving skillsStrong written and verbal communication skills, and a strong ability to make interpersonal connections with internal employees and external customers.Possess the ability to manage heavy workload.Knowledge of personal computers including demonstrated proficiency with Microsoft Word and Excel.Ability to work efficiently with or without supervision.Hours: 8:00 AM – 5:00 PM Monday through Friday, with overtime as required.
