We are currently seeking an Administrative Assistant for our Tempe, AZ Division.

Job Description

The Administrative Assistant is responsible for supporting the Division Team with the daily administrative workload, including but not limited to:Ensure incoming calls are responded to in a timely manner and screen calls as directedTransfer calls to appropriate extensions and/or voicemailGreet visitors as they arrive on the premises and ensure they are directed to the proper party either personally or by another employee Open, date stamp and route mail to appropriate staffPrint Federal Express labels, coordinate pickup and ship packages and/or lettersComplete new hire packets and termination paperwork forwarding to CorporateProcess employee changesCreate and maintain employee files for past and present employeesEnter weekly payroll timely and accurately emailing information to CorporateAttach subcontractor checklist to subcontractor invoices and forward to CorporateEnsure Corporate is receiving all supplier invoices, statements and bulk billsUpdate A/P log and forward processed Division invoices to Corporate via Fed ExMaintain office supply inventory or other inexpensive competitorsMaintain project filing systemEnsure that all office equipment is serviced and maintained. Order office equipment supplies following Park West’s current policies and procedures  Maintain, type and distribute weekly staff meeting minutes

Job Skills/Qualifications:Must have a minimum of 2 years office experienceExperience in the Landscape Construction Industry a plusMust be proficient in Microsoft Office applications (Word, Excel, Outlook)Experience in Timberline a plusMust be reliable and a team player
