JOB TITLE:  Service Dispatcher

We are seeking a Service Dispatcher in the Gilbert, Arizona area. This will be an early full time position starting at 5:00 am to 2:00 pm Arizona Time to better serve our east coast branches.

 

GENERAL PURPOSE

 

Service Dispatcher reports to the Dispatch Center Manager.  Responsibilities include, but are not limited to working with the Dispatch Center Manager in tracking service contracts in many different aspects, active dispatching of Customer Service Representatives on a daily basis, Billing, Parts repair tracking and working with the Dispatch Center Manager in completing department operations reports.

*• Actively dispatch all service personnel on a daily basis.

 

*• Work closely with the Dispatch Center Manager in completing weekly sales orders for the invoicing process of related labor and materials

 

*• Responsible for routinely checking on materials ordered, as well as equipment sent to factory repair facilities to insure a timely response in both situations.

 

*• Maintain all Customer Service Department contract files. 

 

*• Responsible for scheduling and ensuing Routine Maintenance calls are preformed on a monthly basis.

 

*• Maintain all Customer Service Department files.

 

*•  Maintain warranty file.

 

*• Work closely with the Dispatch Center Manager on special projects and other duties as assigned.

 

 

*• Prepares schedules for service personnel assigns personnel to routes or to specific repair and maintenance work.

 

*• Requisitions replacement parts and supplies, maintains service inventory.

 

*• Contacts service personnel to obtain or give information and directions regarding service or installation activities. 

 

*• Maintains a good line of communications between Project Managers and staff.

 

 

MINIMUM QUALIFICATIONS: The following are the minimum qualifications which an individual needs in order to successfully perform the duties and responsibilities of this position.  Please note that the minimum qualifications may vary based upon the department size and/or geographic location.

 

Knowledge:

 

•  Intermediate MS Word and Excel skills.

 

Skills/Abilities:

 

•  Timely, accurate and efficient handling of paperwork.

 

•  Timely and accurate update of each job and Contract files.

 

•  Adherence to policies, procedures, and instructions of Dispatch Center Manager.

 

•  Professional, business-like mannerisms with Customers and Customer Service Representatives.

•  Ability to interact effectively at all levels and across diverse cultures.
