Position Summary:

 

  Duties are performed in conjunction with the Project Manager and field management. Communication between the Project Coordinator and the Project Manager and field management is of utmost importance. The Project Coordinator's duties begin upon award and assignment of a project. They become the center of information on this project for all departments and input necessary information into the computer (Expedition). The communication between the subs/suppliers regarding the processing of contracts/agreements and required documents is the responsibility of the Project Coordinator.

 

Position Responsibilities:

 

·  Reviews contract specifications searching for any other requirements that might be specific to that project.

·  Reviews project specification for special state/federal requirements.

·  Reviews insurance and bonding requirements of subcontractors with bonding and insurance agents.

·  Prepares master contract(s) and attachments specific for that project. Continually reviewing bonds, amendments and insurance documents to verify accuracy and completeness, receipt of these documents in a timely manner, expiration dates, being sure to communicate with sub/suppliers regarding any required changes or renewals.

·  Communicates activities to Project Manager relating to documents received or delayed.

·  Distributes copies of documents received as required.

·  Typing of correspondence for Project Manager, Field Engineer and other field management as directed.

·  Assist with monthly billing to the Owner. Follow through on documents, amendments, insurance and bonds, and their accuracy.

·  Enters budget controls and changes and runs computer-generated reports as directed by Project Manger relating to budget control.

·  Assists Project Manager each month with pay applications (i.e.: gather invoices, data entry, and disbursement).

·  Sets up and maintains file system for Project Manager and Project Superintendent in relation to sub/supplier/project files.

·  Serves as a "point person" for the Project Superintendent regarding needs they may have in job set up and continued support.

·  Works with the Project Manager to set up and maintain the project budget and keeps a log of changes/additions. At the end of the project, the Coordinator is responsible for verifying that all documents are signed, all submittals are received, works with accounting to make sure that accounts are equal to office totals.

·  Prepares project files to be boxed and filed with other history files after final payment has been made.

·  Maintains accurate computer data as required.

·  Reads and understands company policies and procedures and other literature and documents applicable to assigned tasks.

·  Produce quality work, meeting requirements of company policies, procedures, and industry standards.

 

ESSENTIAL KNOWLEDGE, SKILLS AND RESPONSIBILITIES:

 

·  Excellent oral and written communication skills

·  Ability to work independently

·  Able to add, subtracts, multiply and divides rapidly and accurately.

 

Valued but not required knowledge, skills and experience: Bi-lingual Spanish (written and spoken) Experience working in industrial construction Working knowledge of Primavera/Expedition Scheduling Software
