JOB SUMMARY:







This person will be responsible for processing in-house bi-weekly payroll of security officers or guards, who may have worked various shifts in a 24-hour period in multiple locations and in multiple divisions and branches.  Payroll process includes employee records update; verifications of work hours and employee deductions for accuracy; “On-call” claims processing and calculations; manual calculations of payroll adjustments and posting in the payroll system; garnishment notification and deduction; balances payroll taxes, earnings, and deductions; paycheck printing, collating, sorting and distribution.  He/she will also be responsible for processing employee terminations, issuance and delivery of final checks.  Regularly updates the bank with the issuance of payroll checks and placing of stop payments.  Reviews and ensures that all payroll requests are properly documented and approved.  He/She will perform payroll audits at the branches.  Run various reports for reconciliations and other request.  

 

ESSENTIAL FUNCTIONS: (Not limitd to)

 Payroll Processing

 Updates guard information, direct deposits, taxes, deductions and earnings in the payroll system. Coordinates with Branch Managers and/or Schedulers when processing payroll, ensuring all schedules/bookings are complete.  Coordinates with payroll claims coordinator to ensure that all On-Call logs due for payment are completed. Coordinates with HR Benefits Coordinator to ensure all benefits are updated in the system before processing payroll. Checks/verifies to ensure that correct amount is deducted on the employee garnishments, trailer maintenance and other voluntary deductions. Balance payroll reports after each payroll process.

 Employee Terminations

 Coordinates with Branch Managers and/or Schedulers to ensure that bookings are complete and accurate and Employee Action Notice are completed properly with complete supporting documents, if needed. Checks and verifies with concerned departments to ensure that all accountabilities are returned.  If not, deduction is calculated. Calculates uniform reimbursement for any deposits made on returned uniforms, including interest. Issues final check and coordinate with Branch Offices on how it will be delivered to the employee.

  Pay Adjustments and Manual Check Request

 Coordinates with Department/Branch Managers on payment of pay adjustments.  Checks completeness of documentation and verifies information, when needed. Calculates payroll adjustments, inputs them in the payroll adjustment master and issues manual checks, if needed. Notifies Billing department for any adjustment that affects invoicing. Process stop payments, voids checks and issues replacement check. Updates the bank of checks voided and issued for positive pay.  Check Distribution and Delivery

 

· Folds paychecks and stuffs it in the envelopes. Maintains a record of all outgoing mails, ensuring that all mails are properly documented and enclosures included.  Prepares the FedEx packages, Certified Mail notices and post stamps on paychecks. 

 Payroll Audit

 Interview key operations personnel, other payroll coordinators and selective guards to ensure payroll compliance at the branches. Prepare required audit reports and submit them to the Payroll Manager for assessment.

 

SECONDARY FUNCTIONS: (Not limited to)



Helps/Assists in the investigation of employee’s complain and fraud checks. Processes On-Call Claims and Exceptions, when needed. Processes garnishments, when needed. Performs other related duties as required and assigned.

 

EDUCATION/EXPERIENCE:







· Requires prior experience in in-house payroll process.

· Experience with Vision/Vault is desirable.

· Experience with multi-state and multi site organization is necessary.

· Understands Federal and State overtime rules.

· Familiarity with payroll tax laws and regulations & labor laws essential.

· Knowledge of DLSE and DOL regulations; and “On-Call” time regulations.

· Knowledge of basic accounting.

· Knowledge of basic statistics.

 

JOB SKILLS AND OTHER REQUIREMENTS: (Not limited to)







· Computer literacy, a must with experience with WORD, Outlook, Excel.

· Ability to exercise judgment, integrity and discretion at all times.

· Out standing customer service skills are mandatory.

· Good oral and written communication skills.

· Extremely well organized and able to reach deadlines.

· Should be a positive, self-reliant team player with strong organizational, initiative, interpersonal, and problem resolution skills.

· Conflict negotiation skills would be helpful.

· Able to manage numerous projects simultaneously.

· Attention to detail.

· Should have a lot of patience and professional demeanor with inquiries and co-workers

· Should be able to sit for extended periods of time
