We are currently seeking a Contract Administrator for our San Marcos, CA Division.

Job Description

The Contract Administrator will be responsible for supporting the division team with the daily administrative workload, including: reception and front office, mail, fax and federal express, assist with subcontractor certified payroll, contracts and insurance, billings, etc.Ensure incoming calls are responded to in a timely manner, transfer and screen calls as directed.Ensure the certified payroll reports (CPR) are correct and completed by all subcontractors and their lower tier subcontractors weekly.Verify the CPR contains and matches the correct wage rates, classification, daily reports and production reports.Verify training contributions have been paid, and fringe benefit statements and payroll affidavit are compliant.Assist the Project Manager in creating and coordinating the timely execution of subcontracts. Maintain subcontractor filing system, ensuring the subcontract agreement and required documentation is current and in compliance with the Contract; requesting information when necessary.Assist the Project Manager with the submission of Schedule of Values (SOV), requesting subcontractor payment applications, and back up supporting percentages complete.Ensure CPR, insurance, contract documents, supplier releases, etc. are up to date and in compliance.  Submit complete subcontractor billing packages to the corporate office for payment. Ensure that all office equipment is serviced and maintained. Order office equipment supplies following Park West’s current policies and procedures.  Maintain type and distribute weekly staff meeting minutes.

Job Skills/Qualifications:Must have 3 or more years experience in the construction industry doing similar work.Knowledge in processing subcontracts is required.Must have advanced computer skills in MS Office applications. Knowledge in Timberline a plus. Excellent oral and written communication skills.The ability to prioritize multiple tasks.Excellent organizational skills and strong attention to detail(s).
