CONSTRUCTION ADMINISTRATOR

 

OLEN is looking for a Construction Administrator who will be responsible for the administrative functions of the Construction Department including new construction projects and tenant improvements.  This position reports both to the Sr. Vice President of Construction and the Director of Construction and is located in the corporate office in Newport Beach, California.

 

General Administration Duties:

·  Oversee the daily operation of the Construction Department

·  Corporate Office Contact for Construction personnel in Nevada and Florida locations 

·  Generate correspondence as required

·  Generate reports as directed by the Vice President

·  Make travel arrangements for Vice President

·  Processing Account Payables

 

New Construction Duties:

·  Assist Sr. Vice President of Construction and Director of Construction as required

·  Act as liaison to Project Managers and subcontractors regarding bids and subcontract agreements

·  Communicate with field superintendents, subcontractors and vendors to resolve any outstanding issues

 

Tenant Improvement Duties:

·  Communicate with tenant and Marketing Department regarding ongoing status of project

·  Meet with tenant to review plan and discuss finishes; such as paint, carpet, power, lighting, etc. and electrical requirements

·  Prepare Additional Work Authorization/Invoice for additional work requested by tenant and follow up for payment

·  Distribute tenant improvement plan and scope of work to subcontractors for bids

·  Assist Project Managers with bids and prepare for Purchase Order preparation

·  Communicate with field superintendents, subcontractors, vendors and tenants to assist in resolving any outstanding issues

·  Coordinate Construction Tenant Improvement Meeting with Vice President, Project Managers

 

QUALIFICATIONS AND EXPERIENCE

·  At least 5 years experience at a senior administrative level, ideally in the construction field.

·  Must possess exceptional oral and written communication and interpersonal skills

·  Strong computer skills including Word and Excel

·  Requires the ability to read and analyze complex reports and interpret business correspondence

·  Must have the ability to write comprehensive business correspondence

·  Requires the ability to read and interpret construction plans, drawings and specifications

·  Strong mathematical and reasoning abilities

·  Business school, Associate’s or Bachelor’s degree a plus

·  Accounts Payables experience

·  Knowledge of Insurance and Lien Releases
