The Office Coordinator/Receptionist’s primary function will be to effectively provide in-person and telephone receptionist support for Ariba’s Pittsburgh office.  This role will also provide clerical support for our Facilities and Office Services teams.

 Duties and Responsibilities

· Receive guests and answer/direct incoming telephone calls

· Mail Services – Sort mail in the morning and notify Operations Coordinator when mail is ready for pickup and delivery.

· Deliveries – Receive and sign for all packages and deliveries and notify recipients for pickup or Operations Coordinator for pickup and delivery.

· Daily rounds – Perform a once daily walk-thru of each floor and report finding to the appropriate party (Examples – Call in Bldg maintenance issues, notify Facilities and Security Specialist of Facilities issues, notify Operations Coordinator about paper, toner, etc)

· Manage projector loans – Have recipient sign out a projector that is stored at the reception area and ensure that projectors are returned in a timely manner.  Notify Operations Coordinator of any technical issues with a projector or to request additional projectors.

· Intranet profiles – Periodically update intranet profiles – upload pictures & edit seat locations

· Coordinate with Facilities contractors as needed directing services occurring during normal working hours

·  Complete purchase requests and assist with budget tracking as needed.

 

Preferred Qualifications Proficient in Microsoft Word, Outlook and Excel.Highly organized, with good time management skills.Strong communication and customer service skills.Acute attention to detail

 

Basic Minimum Qualifications 2-3 years of experience in an administrative or coordinator role.
