Manager, HRIS & Payroll
SUMMARY: Manage North American payrolls for 1000+ employees at multiple locations in the U.S. and Canada. Manage the development, data integrity, and security for the HRIS. Supervise staff. PLEASE NOTE: You MUST have experience with UltiPro to be considered. Cognos is a big plus. JOB RESPONSIBILITIES: Payroll§ Plan payroll cycle schedules and manage the administration of the payroll function; ensure that all activities are completed within the required timeline for processing of semi-monthly payrolls for 1000+ US and Canadian employees at multiple locations.§ Periodically audit and review systems and output to ensure payroll processing is achieving accurate intended results and all security restrictions are functioning.§ Continuously assess the processes identifying areas for improvement and efficiencies.§ Work with payroll vendor on the creation, integration, and launch of new company groups for payroll processing.§ Prepare and report all local, state and federal payroll taxes.§ Develop, monitor, and maintain payroll balancing controls.§ Audit general ledger payroll account reconciliations § Maintain project plans and testing scenarios for upgrades and new initiatives.§ Ensure the smooth functioning of and continually improve HRIS and Payroll functions.§ Oversee the W-2 and T-4 processing at year-end.§ Audit and review all processed payrolls for accuracy and compliance.§ Develop, test and implement new specific pay policies and procedures ensuring compliance with federal and state regulations.§ Manage time clock database; develop, test and implement plant-specific pay policies/procedures.§ Limit and customize time clock security in accordance with SOX.§ Responsible for training and development of payroll coordinators.§ Hire, manage and evaluate staff.§ Coordinate direct deposit reversals and manual payroll checks.§ Prepare summary of required company-wide payroll liability.§ Manage child support and wage garnishment process.§ Oversee the tracking of employees’ sick/vacation/personnel time balances.§ Resolve payroll discrepancies.§ Prepare monthly and/or quarterly reports. HRIS§ Drive the development of global HRIS initiatives, including needs assessment, blueprinting, and developer specifications.§ Create, map, and ensure the integrity of data transfer interfaces to downstream systems.§ Prepare and maintain process flow charts, business process procedures, and other necessary system documentation. § Configure and test system updates and enhancements. § Write and publish report queries for ongoing end user use.§ Create and maintain security profiles for user access.§ Provide technical and training support to end users. § Ensure the systems are monitored and maintained to ensure functionality is preserved.§ Ensure the field organization will be provided with tools that increase efficiencies in the handling of HR data and activities.§ Develop a mastery of internal report tools to pull data on ad hoc basis for analysis. § Foster an atmosphere of learning and development where team members continue to develop while delivering against the increasing needs of the organization.§ Load, manipulate, audit and report on data in HRIS as well as making mass changes or other direct data updates to the database when requested.§ Research and resolve issues that arise in the system including data inconsistencies and error messages.§ Manage HRIS database; responsible for organization and integrity of integrated HR/Payroll data.§ Customize HRIS security to maintain segregation of duties as required by SOX.§ Responsible for ad-hoc reporting: development, customization, uploads and downloads for periodic distribution.§ Manage vendor relations for HRIS. QUALIFICATIONSEducation and experience: Bachelor’s Degree in HR or related area preferred and 7+ years of progressively responsible work experience in a dynamic HR department, 5+ years of experience with a major HRIS solution, i.e., Ultipro and/or an enterprise-scale payroll system with at least 2 years in a supervisory capacity, and 5+ years experience overseeing a complex, large-volume multi-state payroll function. Experience with payroll tax reporting/filing, including taxation of foreign nationals, non-resident aliens and expatriates. Skills:§ Expertise in HR databases and processes, data interfaces, and query/data source tools.§ High standard for customer service with excellent consulting, interpersonal, follow-up, communication and time management skills. § Ability to take initiative and follow through on assignments in a fast-paced environment.§ Deadline- and results-orientation essential.§ Ability to work flexibly in order to successfully manage multiple projects and tasks. § Ability to work collaboratively as a team member.§ Advanced knowledge of UltiPro, ADP, ReportSmith, Kronos, E-Time, and Excel.§ Understanding of administration of payroll taxes and garnishments.§ Highly detail oriented, self-disciplined and highly motivated.§ Project a professional image and discreet work manner and possess a high level of confidentiality.
