JOB IDENTIFICATION

 

Location: Bellevue, WA

 

GENERAL SUMMARY:

 

Provides administrative support to Chief Executive Officer.  Enhances executive’s effectiveness by providing information-management support; representing the executive to others.

 

 

Duties and Responsibilities 

 

A)  ESSENTIAL FUNCTIONS:

 

1.  Serves as primary contact with the company’s Board of Directors for meeting arrangements and distribution of related materials.  Accompanies the CEO to board meetings and coordinates conference calls as needed.

2.  Manages the CEO’s calendar.

3.  Develops relationships with external business contacts, such as investment bankers, market analysts, and client executives, and interprets business information in order to establish priority and allocate appropriate time for internal and external meetings.

4.  Anticipates meetings that may need to occur (both internally and externally) based on current business activities and priorities.

5.  Collects and organizes all meeting collateral in advance and ensures that the CEO is briefed as needed.

6.  Makes all travel arrangements for the CEO and adjusts scheduling and arrangements as needed in response to changing business requirements.

7.  Travels with the CEO as needed to facilitate off-site meeting arrangements.

8.  Responds to requests or follows-up up with recent contacts on behalf of the CEO.

9.  Maintains the CEO contact list, including customers, vendor, bankers, analysts, etc.

10. Handles sensitive, confidential information on a regular basis and disseminates that information only as needed with a high degree of professionalism.

11. Maintains continuity among the CEO staff by responding to and prioritizing requests.

12. Works on various projects and events providing planning, coordination, and related support. Participates in the preparation and analysis of various reports and internal/external presentations through input and manipulation of Excel, Word or PowerPoint

 

B)  OTHER FUNCTIONS:

 

1.  May participate in vendor selection process for various administrative services.

2.  May be asked to participate in the selection process for other administrative assistants for the company, and may provide day-to-day direction to other support personnel.

 

 

WORKING CONDITIONS

Works in a normal office environment with minimal travel required.

 

JOB QUALIFICATIONS AND REQUIREMENTS 

 

 

 

A) ESSENTIAL:

 

Education:  2-year associates degree

 

Experience: Minimum of 8 years of executive-level administrative experience; experience should include event planning, public relations, project management and daily interaction with external clients, vendors, visitors, and other dignitaries

 

Knowledge: in-depth knowledge of company operations, policies, and procedures; knowledge of and sensitivity to appropriate business etiquette. 

 

Skills: Demonstrated project management and supervisory skills; strong organization skills; ability to establish and maintain critical relationships with key clients and vendors; strong orientation to details, accuracy, and follow-up skills; ability to interact with all levels of management; strong problem solving skills; a high degree of initiative and a proven record of decision making ability; strong computer skills (Word, Outlook, PowerPoint, Excel) and math aptitude

 

 

B) DESIRED: 

 

Education:  4-year college degree, professional certification

 

Experience:  previous experience in marketing, sales, finance and business development functional areas
